Job summary
The Radiotherapy Department at the Oxford Cancer Centre is accredited to the ISO 9000:2015 Quality Standard and we are looking for an enthusiastic, motivated individual with experience in quality management to work part time, up to 22.5 hours per week, jointly managing the Quality Management System with another part time colleague.
Main duties of the job
- To manage and improve the Quality Assurance System within Oncology at the Churchill Hospital Oxford, and its satellite unit, ensuring continuing compliance with the ISO 9001:2015 quality standard.
The quality assurance system comprises detailed written protocols and work instructions for all areas, documenting the agreed practice for all work undertaken. A system for reporting documentation changes, process failure and human error and omission is utilised (the raising of Non-conformances). Documentation is required to meet the legal requirements for the use of ionising radiation in radiotherapy, in addition to proving compliance with the national clinical standards and specifications.

About us
The post is available from November 2022 and working days and hours can be negotiated to suit the successful candidate but need to be a minimum of 18 hours per week. Initially the post will be based at the Cancer Centre but once you have completed the first 6 months in post, the successful candidate can request to move their base to our Satellite Radiotherapy Department on the Great Western Hospital site in Swindon.
This position offers an exciting opportunity to work within a dynamic team who are using and developing the latest techniques and technologies to deliver high quality individualised care to our patients. Clinical experience of working in a radiotherapy department is desirable but not essential.
The service is currently going through an exciting period of change as we replace all our major items of equipment with newer, more advanced technology over a 2.5 year period ending in January 2024.
The multidisciplinary team of doctors, physicists, radiographers, nurses, technologists and support staff work closely together in the preparation and delivery of each patient's treatment and the Quality Management System encompasses all aspects of what we do.
Our department works collaboratively with Cancer Research UK and Oxford Institute for Radiation Oncology (University of Oxford); the primary goal of which is making cancer treatments less invasive and more directed to the characteristics of the patient's own tumour.

- Manage the review of documents and protocols within the Quality System
- Manage standardisation of documents across accredited areas of Oncology, ensuring these are authorised, appropriately issued and controlled
- Manage the distribution of documents, providing appropriate and current documents to all areas and liaising with staff to ensure they are familiar with documented procedures.
- Manage and develop a close working relationship with all staff, to aid communication when preparing documentation for issuing/ updating, thereby encouraging ownership and accuracy of the Quality System.
- Demonstrate knowledge of and incorporation of all relevant legislation, national service specifications, professional guidance and relevant national standards into departmental documentation.
- Recommend and implement changes in the Quality System documentation in order to satisfy requirements of ISO 9001:2015, Ionising Radiation Regulations 2017, Ionising Radiation (Medical Exposure) Regulations 2017, Trust and departmental requirements.
- Manage non-conformances raised (both paper and computer records). This includes ensuring appropriate action has been taken, monitoring the effectiveness of corrective/ preventative action, and ensuring information is imparted to relevant area managers.
- Assess all non-conformities raised within Radiotherapy to establish if Clinical Risk Management need to be informed. Where required write and submit Trust Incident forms on behalf of RSM, ensuring RSM is informed.
- Promote multidisciplinary communication, ensuring that the quality system interfaces with other disciplines as appropriate.
- Provide statistical data as and when required by area managers
- Essential to maintain specialist knowledge of the ISO standards and beneficial to have current or recent previous experience of radiotherapy treatment, and equipment to critically appraise documentation and provides support to the staff working to the standards described in documentation.
- To attend and facilitate running of the monthly Radiotherapy Governance meeting, ensuring all elements of Management Review within ISO 9001:2015 are covered.
- Practice within the framework set out by own professional body if relevant
- Adhere to the Ionising Radiation Regulations 2017 and Ionising Radiation (Medical Exposure) Regulations 2017.
