Job summary
Provide routine clerical support within the Cancer Centre to ensure an effective and efficient service to all users. To include retrieval and filing of case notes, identify and filter case notes in accordance with Trust Policies, KPI's and departmental SOP's.
Main duties of the job
- To locate, extract and dispatch case notes to wards, clinics, departments and other areas within agreed timeframes.
- Unpacking and sorting case notes upon their return to the department in readiness for filing or redistribution.
- Tracking case notes accurately via the department tracking system.
- Filing of case notes and other documentation accurately in order to ensure prompt retrieval of information as required.
- To sort and prepare the contents of case notes for cancer MDT's.
- Search for and locate case notes when they are needed and are not in the health records department.
- Communicate face to face, via telephone and email with service users and colleagues.
- Prioritise workload according to urgency.
- Identify duplicate registrations within the PAS and pass on to data corrections for resolution.
- Review records for retention, destruction or possible archive in line with current department SOP's.
- To highlight any issues regarding missing case notes or other outstanding issues to the MDT coordinators.
- To liaise with off-site storage representatives where necessary in order to ensure timely delivery and collection of case notes.
- Assist with training of new staff as required.
- To contribute to the safety and security of the department ensuring compliance with Health and Safety regulations and departmental policies and procedures and escalating concerns requiring further advice
