Job summary
We are looking for a Personal Assistant to support members of the Senior Clinical and Management Team in the Derbyshire Pathology Business Unit based at the Chesterfield Royal Hospital site. The post holder will provide full senior secretarial and administrative support and oversee a small team of administrative staff in Derbyshire Pathology on the Chesterfield site.
You will be reliable and will possess exceptional organisational skills being used to working with senior colleagues in a busy environment, becoming an integral coordination point for the senior management team at the Chesterfield site of Derbyshire Pathology.
Experience as a Personal Assistant working in a busy setting is preferred, with the ability to multi-task. In addition, you will be required to arrange and attend formal meetings including the preparation and distribution of agendas, collation of papers, chasing of actions and transcribing of minutes.
You will also be able to demonstrate how you lead by example as you will be responsible for ensuring a consistent high level of quality in the actions of the administrative team members, to provide a robust administrative service.
Main duties of the job
Excellent interpersonal and communication skills are essential, as well as competence in the use of all forms of digital communication methods such as Microsoft Teams. You will liaise with a wide range of people from within Derbyshire Pathology and within the Trust as well as from other organisations and will be required to present a professional image to internal and external stakeholders working across our hospital sites. An understanding of confidentiality is key to this role.
You will often be the first point of contact for the senior management team activities and will be able to demonstrate excellent attention to detail, with experience and expertise in diary management (Microsoft Outlook and Microsoft Teams), combined with excellent IT skills and a professional telephone manner.
Having outstanding skills in customer care you will also ensure all matters relating to your work are dealt with in a timely manner to a high level of quality. The ability to prioritise workload and to work under pressure to meet tight deadlines is essential, with a focussed and professional attitude towards your work.
You should also have the capacity to be flexible and work as part of a wider team, committed to enhancing the performance and productivity of the team.
