Fleet Solutions Administrative Assistant – Reallocation Team

Job summary

An exciting opportunity has arisen to join the fast paced Fleet Solutions team who manage salary sacrifice schemes.

The successful candidate will be required to work in a fast-paced environment and mainly deal with customer queries via email and on the telephone. This role will specifically work in the reallocation team which manages pool cars and also the internal Motorhome rental scheme.

Full training will be provided.

Main duties of the job

The main duties of the job include;

  • General administration duties relating to the running of a fleet of vehicles via a salary sacrifice scheme.
  • Arranging collection and delivery of reallocation cars.
  • Handling inbound and outbound calls to/from customers and suppliers.
  • Courtesy calls to customers in relation to their vehicle collection.
  • Carrying out vehicle appraisals.
  • Scanning and maintaining various records including driving licence details, payment information etc.
  • Assist in the processing of insurance claims.
  • Develop and maintain relationships with key industry personnel, e.g. Vehicle Manufacturers, NHS approved leasing companies, and other key external contacts
  • Assist in the handling of any problems/issues relating to the provision of lease cars and the subsequent delivery, maintenance, insurance and payment of, said vehicles.
  • Excellent communication skills required when dealing with a wide variety of queries from employees, leasing companies, dealers, insurance brokers and managers/budget holders.
  • Assisting with the day to day running of the trusts motorhome rental business.
  • Assisting with the day to day running of the trusts pool car scheme(s).
  • May be required to travel to collect vehicles, and carry out vehicle appraisals remotely.

Qualifications

Essential

  • Academically educated to A level/NVQ level 3 standard or relevant experience in a customer service environment or business administration.
  • Knowledge and expertise gained through experience of working within the financial and/or transport/motor industry/staff benefit fields or a customer service related industry.
  • Proficient in the use of Microsoft Office Packages
  • Must hold a full UK driving licence

Desirable

  • knowledge or experience of working with databases
