Job summary

We require an enthusiastic administrative /clerical secretary to provide efficient and reliable support to the Gloucestershire Adult Bladder and Bowel Service, based at Cheltenham General Hospital.

This role is part-time, 30 hours per week.

You must be able to work in a busy environment, sometimes under stressful situations with speed and accuracy. You will be required to work with minimum supervision and be able to liaise with patients, specialist nurses, secretaries, managers and consultants on a daily basis therefore good communication skills are essential. You should have an excellent telephone manner for dealing with patients, Trust and Countywide personnel as this will be a key part of the job.

Main duties of the job

Main duties include:

- Answering the telephone and activating incontinence pad orders for patients and care homes within Gloucestershire and managing the Home Delivery Supply system.

- Typing correspondence letters to patients, GPs, medical staff and any other required addressee following a clinical attendance.

- Booking outpatient appointments for patients.

- The applicant(s) should have appropriate secretarial experience and keyboard skills to RSA Stage III with audio typing.

- You should have good interpersonal skills and organisational skills, together with the ability to work alone and/or part of a team. The ability to prioritise the workload is paramount.

Knowledge of Word, Excel is essential and TrakCare knowledge is also desirable.

We are a small and friendly team of 7 clinicians and 3 admin staff in total. We all work closely together and our aim is to provide the best bladder and bowel care service to residents within Gloucestershire

  • GCSE English and Maths at Grade C or above, or equivalent
  • Computer literate in Microsoft Office packages (Word, Excel, Outlook etc.)
  • Previous experience of dealing with members of the public
  • Experience of using own initiative, prioritising workload and utilising organisational skills
  • Appropriate experience in a hospital or office environment
  • Previous medical secretary/hospital/NHS service experience
  • Good command and understanding of English, punctuation and grammar
  • Excellent verbal and written communication skills
  • Proven organisational skills
  • Effective, fast and accurate keyboard skills
  • Good computer skills with working knowledge of Microsoft Office including Word, Excel, Outlook/Diary management
  • Excellent and accurate attention to detail
