Job summary
An opportunity has arisen to co-ordinate the activities of the Director for Safety, Medical Director and Deputy CEO (the Medical Director) and the Deputy Medical Director, and the teams that report directly in to the Medical Directorate, ensuring portfolios of work are aligned with the Directorate and Trust strategic objectives. The post-holder will manage processes, work-streams and projects within the Directorate, driving efficiencies and freeing up time to allow the Medical Director and Deputy Medical Director and associated services to focus successfully on the delivery of their concurrent objectives and priorities across the Department.
Reporting directly to the Medical Director, and line-managing the Medical Director's and Deputy Medical Director's Personal Assistant, the post holder will draw on their past experience and confidence to be comfortable working in an environment of deadlines and conflicting priorities, whilst working closely with senior clinicians, managers and Executives.
Main duties of the job
The post holder will support the office of the Medical Director and Deputy Medical Director with the utmost professionalism at all times by supporting a wide range of projects and initiatives, ensuring alignment with key corporate and strategic objectives, including:
1. Ensuring effective systems and processes are in place to deliver the business planning and development functions; and
2. Ensuring effective systems and processes are in place to deliver performance monitoring and governance functions by managing the Medical Directorate's administrative function, as well as the processes and policies that underpin it, and incorporating best practice in a cycle of continuous improvement; and
3. Working collaboratively with other senior managers to promote quality improvement, efficiency and integration across the Medical Directorate, to role model compassionate and inclusive leadership in order to shape the creation of a collective leadership culture; and
4. Fostering, developing and nurturing positive working relationships across various stakeholder groups which (a) engages, enables and empowers others (b) uses coaching to promote ownership of learning and quality improvement and (c) facilitates team working and collaboration within teams / departments and across organisational boundaries.

The post-holder will work as part of a small team consisting of the Medical Director, Deputy Medical Director and their Personal Assistant, usually based in Beacon House, Gloucestershire Royal Hospital but occasionally also working from Cheltenham General Hospital and with the flexibility to work from home when appropriate. This small team oversees and provides support to the wider team consisting of 2 Associate Medical Directors and the direct reports of the Medical Director. The post holder will communicate and exchange detailed and sensitive information across the organisation both internally and externally, using tact and persuasive skills and demonstrate excellent communication skills, whilst using diplomacy and persuasiveness to facilitate and drive through tasks and projects to completion.
The post holder will establish strong links with colleagues across the Trust and develop influential relationships to help progress work, using their proven networking team building experience to provide business support to the Medical Directorate team ensuring that there is excellent communication and co-ordination, and that the Medical Director, Deputy Medical Director and Associate Medical Directors are well informed and supported. The post holder will provide confidential advice and support to the Directors and Senior Leaders reporting into the Medical Director on a range of business issues, and will actively seek out and act on improvement initiatives to drive through resource efficiencies in both the immediate Medical Directorate Team and the teams that report into the Medical Directorate.
At all times, the post holder will represent the Medical Directorate to the highest degree of professional standards both within the Trust and with its partners in the wider system, and will deal with tact and sensitivity the many matters of a confidential and sensitive nature which will cross their desk.
