Job summary

An exciting opportunity has arisen within the Corporate Performance team at Newcastle Hospitals to appoint a Business & Performance Administrator.

We are seeking an enthusiastic, committed individual with excellent organisational skills to play a key role supporting performance colleagues. Successful candidates will be highly motivated individuals with effective experience working as part of a team.

The post holder will co-ordinate and manage all administrative functions of the Trust's Clinical Board Performance Review process as well as a number of other workstreams. This will necessitate working closely with a variety of individuals and teams across the organisation to ensure the accurate, timely provision of information and the robust monitoring and reporting of performance data.

Applicants should possess a keen eye for detail, be a highly effective communicator and be able to demonstrate successful prioritisation and management of their own workload. Knowledge of or previous experience within corporate performance or a similar field is desirable, but we welcome applications from those looking to diversify their knowledge and experience of operational/ business functions.

The post holder will help to support the core functions of the Performance Team, with responsibility for the organisation of the Clinical Board Performance Review process that the Trust runs - reviews that encompass a holistic overview of operational performance of both clinical and non-clinical services across Newcastle Hospitals. They will also contribute to the accurate, timely and successful delivery of a variety of other workstreams and reports. As such excellent organisational and communication skills are a key component of the role, as are effective prioritisation skills, experience working with complex data/information and knowledge of existing NHS access standards.

Performance Management and Reporting

Co-ordinate and manage all administrative functions of the rolling programme of Performance Reviews for clinical and non-clinical services, including:

  • establishing meetings
  • requesting and collating documentation
  • acting as the first point of contact for enquiries
  • liaising with senior staff (such as Directors of Operations)
  • minute taking when required
  • all other aspects associated with the accurate and efficient delivery ofthe Performance Review process.

Request, collate and input data from multiple sources into key managementbriefings such as the Trusts operational performance weekly dashboard and monthly Performance Reports for the Trust Board and relevant sub-committees.

Assist in ensuring that timely, validated and approved performance information is reported to the Board of Directors, commissioners and other relevant bodies, identifying and addressing any discrepancies prior to submission.

Co-ordinate and manage the accurate, timely submission of data for national benchmarking programmes and data collection exercises in liaison with other stakeholders across the Trust.

Advise on and provide bespoke reports to corporate teams and Clinical Boards and provide support to managers.

Work closely with Information, Finance and other corporate teams to support Clinical Board Management teams in the development and implementation of action plans to improve performance.

Use and promote clinical benchmarking systems and extract core reports to share with Clinical Board Management teams.

Business Support

Work in diverse roles and be able to balance the requirement of each role,producing information and meeting deadlines.

Work with Information Services to ensure that performance informationrequirements are supported by Trust information systems.

Provide admin support during team meetings and events such as room bookings, minute taking and recording actions.

Provide administrative support to adhoc/seasonal projects undertaken by the Directorate including data collections, surveys and summary reports relating to performance, contracting, planning or other business needs.

Maintain effective time management and appropriately prioritise work to ensure that team and organisational needs are met.

Create, manage and maintain files which are used to assist in the monitoring of Trust and Clinical Board performance information.

Create, manage and maintain the Corporate Performance standard operating procedures and network drives where appropriate.

Monitor the Directorate Risk Register and prompt for updates.

Provide reliable support to the Performance Managers, contributing to and leading on specific projects as directed.

Actively participate in the continuing improvement of team and Directorateprojects/processes.
