Job summary

The Women's Services Waiting List Team is seeking to recruit a dynamic and motivatedWaiting List Officer.

This is an ideal opportunity to showcase your skills in supporting the Directorate to achieve full theatre utilisation and excellent Waiting List maintenance in contribution to a quality patient experience. You will work with the new Trust Care Co-ordination System (CCS) - confidence and demonstrable computer skills, including proven database experience using Microsoft Office Excel is essential. This position requires excellent prioritisation and communication skills at all levels to ensure our 18 Week and Cancer Waiting Times standards are maintained.

The successful applicant will need to demonstrate experience of working in a fast paced environment to ensure robust and timely management of multiple surgical and diagnostic Waiting Lists for a Consultant team specialised in Gynaecology, UroGynaecology and Fertility. You will work as part of a multi-disciplinary team therefore the ability to build relationships and maintain a professional approach is essential. A pro-active approach and genuine interest in providing quality patient care are attributes of the candidates we would like to meet.

Main duties of the job

Patient contact/customer service experience is essential as you can expect to have daily exposure to patients over the telephone - an assertive manner is required with the ability to remain compassionate.

You will work as part of a small team with designated Consultants and Theatre lists -ability to work without direct supervision is necessary - taking responsibility and ownership of your own work is essential.

PLEASE NOTE: This role has exposure to Termination of Pregnancy

Working Monday to Thursday, based in a large Admin office with the opportunity to work from home 1 day a week (after successful completion of probationary period) - a typical day includes (but is not limited to):

  • Adding patients to the E-record Waiting List
  • Preparing 18 weeks documents and involvement in the weekly 18 week meeting
  • Calling patients to invite for theatre dates
  • Processing theatre invitation paperwork
  • Ensuring full utilization of theatre lists, adhering to the 6-4-2 policy when possible, filling gaps at short notice when needed
  • Ensuring patient information remains up to date, participating in the regular validation of the Trust Inpatient Waiting List

The sensitivity around clinical and management priorities will require the post holder to work with and have the confidence of Consultants and Directorate Managers.
  • Information management and data quality is essential to ensuring effective management of waiting lists.
  • The introduction of Patient Choice through booking systems will require the service to have a strong patient focused approach ensuring that written and verbal communication with patients is conducted in a professional and receptive manner. The booking of admission dates will entail a telephone contact facility. Patient confidentiality must be observed at all times.
