Job summary
To provide a professional and courteous telephone answering service within the HYM Reception to welcome children, adolescents, parents, staff and professionals; ensuring that all telephone calls into the CAMHS Service are coordinated and dealt with professionally and in a timely manner. Liaising with families who may be distressed or emotional on the phone; ensuring confidentiality is strictly maintained.
Main duties of the job
To coordinate all the telephone calls coming into the CAMHS department; responding to all telephone calls within five rings in a courteous, caring and polite manner. Problem solving queries and taking messages for the team's administration and clinical staff. Responding to the messages via email or verbally liaising with the relevant staff and professionals.? To create case notes on electronic patient record PARIS upon receiving messages from patients, parents, staff and professionals conversations that need to be recorded.? To upload electronic clinical documentation including care documents, PADS and anything that requires uploading on to the electronic patient record PARIS.? To cancel clinics when requested by the admin lead or clinical staff.? To input new patient referrals on to the electronic patient record PARIS when covering for colleagues due to annual leave or other absences.? To provide cover to the clinic reception in absence of other reception staff.

To monitor and order stationery and clinical stock items for the department as and when required in a timely manner and within defined budgets. To order non-stock items via the procurement oracle system. To use initiative to a significant level to assist in the development of clerical systems and work without direct supervision. Decisions made will fall within clearly defined limits and be governed by procedure and precedent. Be flexible around working hours providing administration and reception duty cover for late evening clinics as necessary. Create and achieve a balance in the workload by prioritising and delegating work as necessary and monitoring the situation on a daily basis.
