Job summary

Bevan Place is a 16 bed unit based at Stepping Hill Hospital in Stockport.

The unit provides mental health rehabilitation and high support to men over 50 who have severe and enduring mental health issues, like schizophrenia, and are ready to step down from a medium or low secure setting.

Many of our patients also have varying degrees of cognitive impairment and physical illness.

The Unit Administrator will provide high quality administrative support ensuring high standards are maintained at all times and work is produced effectively and efficiently in accordance with Trust policies and procedures.

Main duties of the job

The post holder will be required to use independent judgement, sensitivity and discretion to carry out specified duties.

Job description

Job responsibilities

To provide efficient general secretarial and administrative assistance to the Unit Manager, Clinical services manager, Occupational Therapist and their teams.

Liaising with other members of staff on site, including the maintenance and estates departments, GPs, patients and their relatives, plus other relevant agencies, eg Social Services, Probation, Courts, Prisons, Police Departments, Solicitors etc.

Dealing with telephone enquires responsibly and tactfully.

Collect, collate, input and extract data into/from NHS systems as directed by Unit Manager (PARIS, Safer Staffing, SMART, Electronic Staffing Record).

Responsible for the safe storage of data and information in accordance with Trust policies ensuring guidelines regarding confidentiality, disclosure of information and Data Protection are observed at all times

Maintain administrative systems set up to ensure an organised and efficient working environment for staff.

Processing external correspondence, ensuring that any urgent mail is dispatched immediately, and Emails.

To work as an integral part of the unit staff team.

Developing and maintaining an efficient and effective filing systems as required.

Creation and formatting of documents including databases, folders on the G Drive and daily paperwork, this includes regular housekeeping of documentation used on the unit.

Arranging meetings booking rooms, refreshments, minute taking etc, and occasionally servicing meetings. Including all administrative duties with regard to recruitment.

Carries out secretarial duties above grade, including typing of correspondence for Unit manager and medics.

Liaises with wards and medical records with regard to obtaining relevant case notes.

Filing of all necessary documents (memos, letters, investigations etc) appropriately.

Responsibility for ordering all supplies and maintaining stationery, office supplies, Non-stock items e.g., furniture and electrical goods, and consumables for the wards. Also sources and orders appropriate medical supplies under the supervision of nursing staff.

Contacts relevant agencies and arranges calibration of medical devices

To actively contribute to the Trusts commitment and policy surrounding anti-discriminatory practice.

To safeguard at all times confidentiality of information relating to patients and staff.
