Job summary

An opportunity has arisen for a Band 3 Team Administrator to join the Secondary Care Psychological Therapies Service in the Stockport borough. The post holder will support the team by providing efficient and effective administration support and undertake the administration of all referrals received into the team.

We are looking to appoint a post holder who has significant experience in administrative roles or similar, who is highly organised, and can ensure high standards are always maintained. The successful applicant should be able to produce work in a timely and professional manner in accordance with the Trust's policies and procedures. Key to the role is an ability to communicate with mental health service users and the general public in a sensitive, confidential and non-judgmental manner.

Our team is located in a Psychological Therapies Department based at Stepping Hill Hospital and there is a dedicated admin office next to the waiting room. We are a team of 8, comprising an experienced administrator who the successful applicant will work alongside, 2 Cognitive Behavioural Therapists, and 5 Clinical Psychologists. We occasionally have Trainee Clinical Psychologists on placement. We are a friendly, connected team who value continued professional development, peer support and the occasional social event.

The post holder will be accountable to the Principal Clinical Psychologist/Team Manager for Secondary Care Psychological Therapies.

Main duties of the job

  • To act as first point of contact for the Secondary Care Psychological Therapies team, providing an appropriate and courteous response to all enquiries, taking clear messages as necessary and making telephone calls as directed.
  • To undertake the comprehensive administration of all referrals received into the team.
  • To ensure that all relevant referral information is recorded on relevant information systems, and be responsible for the security of the information contained within these systems.
  • To collate all relevant available information to enable the effective management of referrals received by the team.
  • To carry out general clerical duties including information gathering, dealing with internal and external post, filing, scanning, faxing and photocopying documents.
  • To deal with difficult telephone enquiries and give advice wherever possible, in a diplomatic and sensitive way, following these through with the appropriate member of staff, in a responsible and professional manner.
  • To provide a word processing service including the use of Excel and Power Point to meet the demands of the team.
  • To attend meetings as requested by the teams and to take accurate minutes, process and distribute them as necessary.
