We are looking for an individual to join our friendly and supportive team, the post holder will provide a comprehensive administrative service within a busy Workforce Information team with a variety of tasks, no two days are the same. We are looking for someone with a can do attitude and willing to try new things.

You will be required to work flexibly from Elizabeth House usually once a week depending on service needs, the rest of the time working from home.

Please note - Interviews for this role will be held on Wednesday 20th December.

Main duties of the job

The main duties of the job are to support the Workforce team, you will be one of the first port of call to various inboxes.

You must be an excellent communicator both verbally and in writing, be able to prioritise various tasks at the same time, have a inquisitive nature as queries can sometimes be complex. Be able to adapt and take on changes to processes and systems.

  1. First port of call to the ESR and Workforce information team, processing of all forms of correspondence, reports and summaries that are required by the team.
  2. Undertake diary management, as required. Including booking training or meetings.
  3. Organise panels and hearings and associated paperwork and correspondence as required.
  4. Organise meetings, take, transcribe and distribute minutes accordingly as required.
  5. Provide operational support to colleagues, and supervision of more junior staff within the team, if required, as directed by Line Manager.
  6. Inputting and updating Staff information on computerised information systems and interpreting reports, sharing with relevant people as necessary and according to data protection act.
  7. Liaising with managers and employees on queries and providing responses and signposting
  8. Preparing panel packs for hearings and slides/packs for training.
  9. Maintain filing in both paper and electronic records, ensuring that it is kept up to date at all times. In accordance with Trust procedures, track and receive notes in a timely manner.
  10. Ensure good customer service by providing a professional and effective response to queries in generic email inboxes, providing information and signposting as requested and appropriate.
  11. Undertake training of new staff as directed by Line Manager and/or other managers.

Provide cover as directed by Line Manager for other members of the team in their absence and assist with their workloads as necessary and undertake such other duties as may be reasonably required commensurate with the grade of the post.
