12-month Fixed Term Contract

A rare and exciting opportunity has arisen for an enthusiastic and highly motivated individual to join the Children's Directorate Admin Hub in a Business Support role as a Business Support Senior Administrator to the Deputy general Manager and named Service Managers.

The job role can be based in either Peterborough, Huntingdon or Cambridge and be a blend of office and home working.

As a Business Support Senior Administrator you will be responsible for providing efficient, effective and timely administrative and secretarial support to the Deputy General Manager and Senior Managers; be responsible for a full range of duties; and is expected to maintain complete confidentiality and to represent the Trust in a professional, efficient and courteous manner at all times.

Main duties of the job

  • To provide a first-class effective and efficient Business Support service
  • To manage own workload efficiently and effectively in order to provide a comprehensive, high quality service
  • To work in a highly professional manner, maintaining diplomacy and confidentiality at all time
  • Liaise closely with staff of all grades across the Trust, as appropriate,
  • To support/cover for the Exec Assistant and business support colleagues as and when required

  1. Diary Management for named managers and acknowledge/book meetings appropriately ensuring that documents are distributed and information disseminated to appropriate persons within the Trust
  2. To undertake support for any project work for Deputy General Manager and Service Managers as required including locating and retrieving appropriate information, preparing presentation material as necessary and ensuring all equipment is available at the venue
  3. Overseeing emails for Deputy General Manager and Senior Managers ensuring these are directed appropriately and followed up to ensure action is taken where necessary
  4. Support meetings with meeting preparation ,note taking and post meeting actions
  5. Working to tight deadlines and managing workload
  6. To use Trust systems: Healthroster, Oracle, TRAC, Systm 1
  7. Ensuring all relevant information regarding meetings ie. attendees, venues, papers etc are ready in good time for the Senior Managers attention

Essential

  • Educated to GCE/GCSE (A - C grades, one of which must be English) or equivalent.
  • RSA/OCR stage III/NVQ Level 3 in Business Administration or equivalent.
  • Able to demonstrate and evidence continuous professional development.
  • High standard of written English.

Experience

Essential

  • Significant experience in secretarial / administrative/ project support positions
