Job summary

  • To receive telephone calls and emails from outside agencies, deal with them if possible or refer on as appropriate.
  • To plan and coordinate your workload to ensure all deadlines are met and objectives achieved.
  • To provide a comprehensive secretarial service to the service / department.
  • Deal with correspondence on behalf of the admin manager when required.
  • To process office stationery and procurement orders

Main duties of the job

  • Deal with issues that arise appropriately, including enquiries or complaints from members of the public and patients. Where appropriate refer or escalate to the admin manager, ensuring that no issue is inappropriately delayed in being actioned.
  • Ensure good working relationships with all staff across the organisation and external agencies.
    • Supervise junior team members
    • To undertake ongoing personal development through participation in appraisal and supervision, and participate in relevant training identified.
    • Ensure compliance with local policies and maintain accurate records.

Essential

  • NVQ3 / A-levels or equivalent or relevant practical experience
  • Managing busy workload and conflicting priorities. Handling confidential and sensitive information in accordance with the Data Protection Act Full range of administrative procedures, software programs. Understanding of trust values and vision
  • Good knowledge and proficiency of Microsoft packages to include Word, Excel, PowerPoint, Outlook. Keyboard skills to ensure accuracy, speed and optimum use of functions. Ability to plan, prioritise and organise a number of activities and continually reprioritise to meet tight, conflicting and often changing deadlines. Maintains confidentiality and observes Information Governance and Data Protection rules.
  • Excellent verbal and written communication. Works without supervision, advice available from line manager when required. Ability to work as part of a team. Should include team working, interpersonal skills and written and verbal skills, importance of a positive "can do" attitude and a positive attitude to change Excellent attention to detail
  • Be aware of occasional exposure to distressing or emotional circumstances. Be prepared to travel between sites and cover other services within the division

  • Negotiation and persuasion skills
  • Good knowledge and proficiency of Trust systems to include RIO, and other digital systems
  • Supervision of at least one member of staff
  • 2-year NHS experience
