Job summary

The ROH is currently going through an exciting period of large-scale digital transformation. We are seeking to recruit a EPR Configuration Analyst to join the Digital Team to support major projects within the Programme including an EPR (Electronic Patient Record) that will drive advances in patient care, and efficient processes across the Trust.

The post holder will bring experts together to identify, define, and promote new ways of working. To do this, they will need to become familiar with the digital tools available, including clinical and non-clinical systems and internally developed solutions, as well as with patient pathways and operational processes.

The successful candidate will be experienced in business and process redesign and comfortable working in a busy, complex and changing environment. They will have a good eye for detail and excellent analytical and communication skills.

Main duties of the job

Part of the Service Improvement Team, the post holder will be responsible for the ongoing integration and optimisation of the PICS application into the Trust. This role will also support the deployment of any new EPR system that will integrate all other Clinical and non-clinical applications.

The post holder is responsible for:

  • Optimising the Trust's e-PMA solution PICS
  • Being the lead specialist in integration of HL7 patient data for PICS/Clinical Portal amongst other applications.
  • Integrating PICS into other clinical workflow systems where possible
  • Delivering ongoing end user PICS/EPR training and offering support of the Trust's end users
  • Become a core member of the PICS support team
  • Analyse and document simple to complex clinical and administrative workflows with those already built into the trusts EPR/PICS/PAS systems and/or configuring the systems using configuration tools to tailor the system.
  • Analysing and improving current workflows and working practices.
  • Assisting with system testing to ensure systems are safe, usable, secure and robust

This is not an exhaustive list of duties and a regular review will take place with the post holder as part of their ongoing development and performance management.

System management, support and training

  1. Analyse and document routine clinical and administrative workflows, information, data collection and/or reporting requirements.
  2. Evaluate and interrogate various audit data from Clinical Systems and identify demographic data that can be integrated to other applications. Research future releases and builds to establish impact and risks on the trusts systems.
  3. Continuously monitor application developments and/or make urgent changes to build as appropriate.
  4. Investigate end user requirements for the soon-to-be implemented EPR and ascertain other system dependencies.
  5. Be an expert in the application area, troubleshoot problems and address questions from end users regarding the application.
  6. Ensure that the PICS/EPR/PAS systems are configured to meet new best practice ways of working, to achieve cost-saving benefits and improved workflow processes.
  7. Log issues as they arise and update administration systems accordingly. Liaise with colleagues and the supplier to achieve resolution and escalate unresolved issues through the Project Manager.
  8. Demonstrate/present complex current systems in an easy-to-understand format to individuals and/or Project teams and/or Trust staff, including at senior and director level
  9. Self-teach from supplier manuals to solve problems in build.
  10. Provide recommendations on best practice when using various hardware within the clinical systems to staff, Research alternative hardware solutions where possible and advise accordingly to Project Managers.
  11. Maintain a high level of communication skills when training colleagues who may not be as technically advanced in the application area and deliver specialist training when required.
  12. Ensure end-users are given the appropriate levels of access and security to the PICS/EPR/PAS systems as defined by their job role and following the required level of training completion.
  13. Work with the various testing teams to develop test scripts against patient scenarios across patient pathways and interfaces to other systems in accordance with the Project requirements.
  14. Provide support to end-users through regular meetings and by at go-live and during the subsequent optimization phase.
  15. Ensure compliance to programme changes and change control mechanisms.
  16. Ensure that all generated documentation is fit for purpose, accepted, and retained in line with the PICS/EPR processes.
  17. Maintain a high level of concentration for long periods of time as data validation will be paramount in aiding the identification of system bugs so the need to have an attention to detail is critical.
  18. Input data into spreadsheets, Word documents or PowerPoint presentations, ensuring accuracy and adhering to style guides/templates.

Reporting

  1. Report configuration progress on a weekly basis to the Project Manager.
  2. Maintain regular communication with other application teams and suppliers.
  3. Work with the Business Intelligence / reporting teams to ensure the applications produces all reports required by the various departments.
  4. Ensure that build development and changes are logged via the trust Service Management tool.
  5. Ensure Trust colleagues provide information in a timely fashion to enable deadlines to be met
  6. Analyse and review test progress reports and variances to define recommendations to maintain schedules and raise any risks or issues highlighted through testing to the appropriate level.
  7. Ensure testing activity is completed, tracked and is consistent with published deadlines.
  8. To manipulate data and/or run and collate reports or other documentation as required for the PICS/EPR team, board meetings or events.

Continuous improvement

  1. Propose and implement changes to working practices and support the Trust to adopt these changes to improve efficiency, patient flow and/or patient experience.
  2. Work with Training & Department leads to incorporate feedback from training sessions into future developments or make urgent changes to build as appropriate
  3. Initiate, arrange, chair and/or participate in meetings between Trust staff (including senior Trust staff) and/or colleagues to discuss workflows and/or areas of concern and/or take notes of any action points.
  4. Meet regularly with Project Managers, Digital Programme Manager to review and prioritize the scope of the applications/interfaces in accordance with the Project requirements.

Personal

  1. Be responsible for own area of work, working autonomously to plan and organize workload to meet multiple and often conflicting deadlines.
  2. Be IT literate and demonstrate a high level of keyboard skills as data interpretation and report generation will be a key requirement.
