Job summary

We are looking to recruit Administrators within the GP Out Of Hours service.

This is an exciting and challenging department which provides support 24 hours / 7 days per week. The post holders will be expected to work under pressure, adapting positively to a busy and demanding workplace. A flexible approach is necessary as this post involves working unsociable hours, i.e. weekends, Bank Holidays and internal rotation night duty. The posts will be predominantly night shift cover.

We are recruiting for 1 x 37.5hrs post and 1 x 18hrs post worked on a rota basis. Please state which post you would prefer in your supporting information.

Main duties of the job

The role of the Out Of Hours Administrator is to answer calls from patients and other health care professional who require access to the out of hour`s service. E.g., NHS 111, Walk In Centre, Social Services. The administrator may also be required to undertake reception duties when necessary.

Job description

Job responsibilities

To answer calls from patients, healthcare professional and staff and providing information in accordance with training provided by WWL NHS Foundation Trust.

To work in partnership with all staff clinical and non- clinical to ensure the safe processing of all patient information, thereby ensuring that all patients receive treatment based on accurately recorded information.

To remain flexible on all occasions when covering shifts.

To answer calls from patients in a polite and professional manner ensuring at all times that you have responded to any specific concerns they may have in accordance with training provided

To ensure that you register all key details provided to you by patients

To ensure that you identify medical emergencies and based on circumstances, arrange subsequent emergency care to signpost the patient accordingly.

To process all calls using the required decision support software.

To ensure that you arrive for work on time and ready to take calls at your shift start time

To ensure that you prioritise and organise your day-to-day tasks (when necessary).

To ensure that you process calls and provide information to patients, colleagues, managers as requested and trained.

To follow all OOH Medical Services procedures and policies.

To ensure that you adhere to policies and procedures in relation to sickness and annual leave.

To process, transmit and store patient data using a computerised database / system.

To complete Departmental / OOH Medical Service surveys as required.

To ensure that working environment is kept clean and tidy and to report any safety risks as per policies and procedures.

Reception duties to include allowing patients access to the centre using present security systems in place.

Confirm patient`s identity and record arrival time on computer.

Monitor the computer screen to ensure that patients are seen in arrival time sequence, unless there is an urgent or emergency recognised patient.

Keep patients in the waiting room area informed of any delays.

Liaise with Service Supervisor and Triage Nurse coordinating shift to ensure that all advice calls, home visits and base visits are dealt with within the National Quality Requirements (NQR) time limits.

Reception should be manned at all times when patients are on site.

Present a high-quality profile to patients, relatives and other healthcare professionals accessing the service always ensuring polite and pleasant manner.

Ensure that staff working on reception wear uniform provided and have a smart appearance.
