Job summary
The post holder's main duties will be to provide administrative support to the Directorate of Estates and Facilities management team covering a wide range of services.
The post holder will be expected to work as part of the wider Administration Team including helpdesk and reception, providing an integrated and flexible service. As such they will berequired to undertake duties within other areas of the Administration Department when theneeds of the service demand it.
Main duties of the job
- Provide confidential and efficient word processing service
- Type letters, reports and memo's from written transcription
- Open, sort and distribute post following local process
- Maintain the diaries and arrange meetings for the Estates and Facilities Management Team, as required
- Arrange meetings, book venues, order refreshments, receive visitors as required
- Efficiently provide agendas, minutes and supporting papers within required time limits formeetings
- Attend meetings to take minutes / updating action plans on a frequent basis and takefollow up action as required
- Assist with Room Bookings enquiries using internal system
- Prioritise own workload and meet deadlines in order to meet the requirements of thepost
