Job summary

Our CAMHS service in Lichfield has a wonderful opportunity for a Medical Secretary to join their team who will offer confidential and efficient secretarial support to the Consultants and Junior medical staff within the team.

You will be required to work on your own initiative and demonstrate a willingness to help others and be a key member of the teams. You will be expected to be able to prioritise work and meet deadlines in order to fulfil the requirements of the post. Excellent interpersonal and communication skills are essential with an ability to deal with highly sensitive and challenging situations. You will be required to utilise a personal computer for word processing and database management.

You will maintain electronic diaries for clinical and non-clinical activities including the arrangement of appointments and clinics for medics, as required.

You will produce a range of highly confidential good quality documents including typing of letters, memoranda etc. from written and audio transcription, also composing correspondence where required.

You will organise appointment dates. Undertake all follow up action including arranging appointment, confirming in writing, booking room, notifying clinicians involved and updating Trust Information systems.

Ensure patient personal details are constantly updated and accurate and that patient records are tracked in accordance with Trust requirements

Main duties of the job

  • Deal with general enquiries from patients, relatives, internal and external clinicians, various agencies both statutory and voluntary (including Social Services, Education Welfare, Solicitors, General Practitioners and other health care professionals) in a confidential and sensitive manner. Accurately record any messages and ensure suitable follow up.
  • To demonstrate knowledge of a range of secretarial procedures and software programmes acquired through NVQ 3, RSA 3, AMSPAR or equivalent and to implement these in practice.
  • Provide a confidential administration support as required including minute taking, organising meetings, collating and maintaining data basis.
  • Maintain an effective office support system including filing, photocopying, faxing, scanning and reception duties
  • To oversee the security of the building, arranging fire alarm testing, welcoming visitors and ensuring sign in process is adhered to.
  • To collate and analyse data relevant to service need which may include DNA rates, referral rates training compliance.

Essential

  • Good standard of general education including GCSE English (or equivalent level of qualification)
  • NVQ Level 3, RSA 3 or equivalent level of secretarial experience.
  • RSA/OCR Level 3 or equivalent speed and accuracy
  • AMSPAR qualification or equivalent experience

Desirable

  • Evidence of further development learning

EXPERIENCE

Essential

  • Minimum of 3 years Medical Secretary experience
  • Good audio/copy typing skills
  • Handling sensitive/distressing information and related issues
  • Experience of producing documents, reports etc. to a high standard from hand-written and audio transcription.

Desirable

  • Previous secretarial experience within CYP Mental Health services
  • Use of NHS RIO system
  • Previous NHS experience within a community setting
  • Some knowledge of using analytical skills to improve practice or service
