An
exciting opportunity to join the Pre-Assessment Team at The Leeds General
Infirmary as a Clerical Officer.
The
post holder plays a unique and vital role in underpinning the delivery of a
high-quality surgical pre-assessment service. By working alongside the nurses
and other clinical staff as part of the multi-disciplinary team within the
department. The postholder will support the clinicians, clinical staff and
all patients under pre-assessments care, including administration of all the
clinical system.
The
post holder will undertake a range of clerical and administrative duties
which will include receiving and checking documentation, patient information
and processing appropriately within departmental guidelines.
The
post holder will enter information onto the appropriate IT system and
retrieve information as and when required. To undertake the role of making
and receiving calls, booking patients, making sure clinics are attended and
using spreadsheets. Reception duties to the department, the postholder may be
the first point of contact for patients and other visitors to the Department.
Main duties of the job
The
candidate will be expected to:
To be fully conversant with and
adhere to standard operating procedures, policies and agreed departmental
procedures.
To promptly process patient and/or
other correspondence, documentation, letters, reports etc.
To provide a full clerical support
service to the Department
To greet patients and visitors to
the department.
To deal with communications and ad
hoc enquiries from staff and service users.
To plan and book appointments in
priority order in accordance with departmental policy in a timely and
efficient manner.
Check/enter patient and /or other
details on the Patient Administration and other Systems.
Prepare documentation for
processing
Report and respond to any system
faults and errors.
Maintain and update
patient/departmental databases.
To deal with telephone and
in-person queries from patients and relatives.
Follow Departmental/Trust disposal
and destruction procedures of confidential documentation, in line with Data
Protection Act and Confidentiality.
Provide suitable cover for other
clerical staff in cases of absences, as delegated by line manager.
Assisting to maintain high
standards of care.
General office work and any other
duties assigned by the Supervisor/Team Leader or Manager

- IT skills including keyboard and data entry, with the ability to demonstrate proficiency in the use of software
- Good written and verbal communication skills.
- Previous experience in an office environment (includes work experience at school or college)
- Insight into role and responsibilities of post
- Be fully conversant with Trust policies and procedures and have complete understanding of standards to be achieved.
- Knowledge of clerical procedures and administrative systems pertaining to the department (acquired through on the job training)
- Excellent customer care skills
