Working directly to the Chief Executive and closely with other members of the Chief Executives Office, you will be responsible for ensuring actions assigned to the Chief Executive are taken forward by engaging and working with teams from across the Trust and partners across the wider health and social care system and will have agreed delegated responsibilities in strategy development and policy initiatives. You will also be responsible for ensuring the Chief Executive is briefed and prepared for all meetings and events with appropriate information, presentations, speeches and background.

Main duties of the job

The post holder will be responsible for providing a high level executive support service for the CEO. Working closely with other members of the Chief Executives Office (see structure below), the post holder will be responsible for ensuring actions assigned to the CEO are taken forward by engaging and working with teams from across the Trust and partners across the wider health and social care system and will have agreed delegated responsibilities in strategy development and policy initiatives. They will also be responsible for ensuring the CEO is briefed and prepared for all meetings and events with appropriate information, presentations, speeches and background.

Principal Duties and Responsibility

Responsibility for leading and delivering on specific projects on behalf of the CEO.

Support the CEO in ensuring the completion of day-to-day duties and achievement of Executive Team objectives.

Undertake research into current issues and provide timely briefings to ensure the CEO is prepared to represent the Trust effectively at meetings with key stakeholders and staff.

Contribute to Senior Leader Team meetings as an active and collaborative member.

Author reports,submissions,speeches and presentations.

To take a lead role on the development and implementation of identified policies and procedures.

Monitor and manage a budget for a range of services.

Line Management of the Executive Assistant Team Leader to ensure effective working of the team.

Job responsibilities

Liaise extensively with Clinical Service Units and departments, partners and with external stakeholders including patients, public and the voluntary sector.

Work with members of the CEO office, Executive Directors, and other key personnel to ensure effective environment scanning for emerging issues which could have an impact on the Trust such as policy, legislative or regulatory changes and provide detailed briefing to the Chief Executive, Board or Executive Team as appropriate.

Liaise with WYAAT (West Yorkshire Association of Acute Trusts), Leeds place of the West Yorkshire ICB (Integrated Care Board), Leeds City Council and NHS England regional colleagues for the development of effective city and wider partnership work.

Work with the EA to the CEO and Associate Director of Communications to ensure effective and timely correspondence with Members of Parliament and other key stakeholders.

Draft reports and Board papers.

Support development and monitor delivery of key Trust Executive work plans and co-ordinate Executive Team progress against actions for meetings and events including, for example, the NHS Improvement Integrated Delivery Meeting etc.

Ensure Trust Executive Team Meetings and Executive Management Group meetings are effectively organised (agendas, papers etc.) and held in accordance with terms of reference and recorded effectively (minutes/summary points for senior leaders) and associated actions followed up.

To provide reports and produce evidence as requested to the Chief Executive in relation to compliance with regulatory frameworks.

Support the Executive Assistant to the Chief Executive when required to liaise with patients, relatives, and the Patient Relations team to oversee correspondence from the Chief Executive in relation to complaints and compliments.

The post holder may be required to take responsibility for the management of a range of HR issues, including disciplinary and grievance matters, complaints, recruitment and appraisal.
