An exciting opportunity has arisen for a permanent position within the Neurosciences CSU team of Neurology. This would be an ideal opportunity for someone looking to expand their experience and knowledge of the Trust. The successful candidate will provide comprehensive admin support for the Neurology team. This is a permanent post and is 37.5 hours per week.

General duties will include receptioning the clinics held in the Day Unit, making patient appointments, answering telephone and email enquiries from patients, GPs and other hospital departments, dealing with consultant and nurse requests and supporting the various referral to treatment targets. We are looking for a self-motivated, organised, flexible and hard working person who can work on their own initiative and as part of a team.

Candidates will need excellent communication skills, the ability to work under minimal supervision and the ability to meet deadlines. Previous experience of working in an office environment is essential.

Microsoft office or equivalent is an essential requirement, along with a good standard of English and maths.

Main duties of the job

This role will provide a high standard of clerical and reception duties to patients and the Neurology department, for the clinics held in the Day Unit, which will include greeting patients in an efficient and courteous manner and directing them to the correct clinic rooms, booking any follow up appointments, dealing with queries from clinicians and nursing staff and any other general admin duties.

Checking/entering patient details on the Patient Administration System - full training will be given.

Preparing patient documentation for processing, including inputting or scanning.

Reporting and responding to any system faults and errors.

Maintaining and updating patient/departmental databases, prioritising within departmental guidelines and escalating unresolved situations/issues to the appropriate line manager.

Answering general telephone enquiries and requests to retrieve patient and other documentation.

To ensure that requests for information are dealt with in an efficient and timely manner.

To deal with telephone and in-person queries from patients and relatives, Trust staff and external agencies.

To refer queries or concerns regarding patients and other visitors to the department to appropriate senior staff.

Attend staff meeting and 1-1's with your line manager on a regular basis.

Assist the admin team with booking outpatient appointments for all clinics in the Neurology, stroke and neurophysiology departments when requested.

About us

The Neurology department is based at Leeds General Infirmary and is part of the Centre for Neurosciences CSU. The Day Unit has been recently refurbished and is used for Neurology patients only. There will be 4 clinics held per day in this unit with up to 8 patients in each clinic, as well as patients attending for treatment for ongoing and often life limiting neurological conditions.

There are currently 18 neurology consultants, 7 Senior Registrars, 15 specialist nurses, 15 secretaries, 2 Multiple Sclerosis co-ordinators, 1 Parkinson's Disease co-ordinator, 1 Business Manager, 1 Patient Services Co-ordinator, 1 Assistant Patient Services Co-ordinator and 2 admin clerks currently working in Neurology. There are 4 nurses and Clinical Support Workers plus 1 ward clerk based in the Day Unit.

This post holder will report to the Assistant Patient Services Co-ordinator and will work as part of the Neurology admin team.
