Job summary

The department of Neurosciences at Leeds General Infirmary are looking for a full time MDT Co-ordinator to support the Spinal Surgery department.

The hours are 37.5 hours a week Monday to Friday, with the opportunity for hybrid work. You will be working with a supportive team in a fast paced and challenging department with excellent opportunities for development and training.

The post holder will be responsible for the collation, collection and inputting of patient activity data required to monitor and quality assure Spinal Surgery Services in the Trust.

Also, to carry out all administrative duties, in relation the Spinal Surgery Multi-Disciplinary Team Meetings (MDTs) and ensuring appropriate records are maintained.

Main duties of the job

Main responsibilities include, but are not limited to, the following:

Managing referrals to MDT, image transfer requests, correspondence between referrer and MDT in preparation for the Spinal Surgery MDTs including usage of clinical systems.

Organising MDT meetings, room bookings, invites, attendance etc.

Attending the MDTs and recording minutes.

Distributing outcomes to referring teams.

Maintaining database of referred cases and outcomes up to date.

Line manage BSR data collection staff and monitor compliance in line with any quality and financial (including CQUINN) key performance indicators.

Work closely with the Spinal Surgery consultants, Spinal Surgery clinical and admin teams, and wider MSK team.

About us

The Spinal Service is located at Leeds General Infirmary, a Level 1 Major Trauma Centre, providing the highest standards of secondary and tertiary care for a population of approximately 3 million people.

The Spinal Surgery Business unit employs 18 administration staff across 3 subunits

Overall responsibility for the management of all three sub-units sit with the Patient Services Co-ordinator (PSC), who is supported by the Assistant Patient Services Co-ordinator (APSC), Senior Theatre Team Leaders and Senior Medical Secretaries.

We are an extremely busy department, over the past 3 years we have introduced new ways of working & have reduced waiting times for patients significantly.

Job responsibilities

The Neurosciences Spinal Surgery and Neurosurgical surgical service comprises of 5 elective theatres and 1 acute theatre on the LGI site providing theatre capacity for adult and paediatric spinal surgery and adult cranial surgery. In addition to elective theatres at Chapel Allerton Hospital. The service also uses operating capacity at a number of other NHS hospitals and independent sector providers in the West Yorkshire region. There are up to 20 theatre lists running each week within the service. There are currently 24 consultant surgeons working within the service.

The post holder will develop and maintain close working relationships with the surgeons, the wider directorate clinical teams, the neurosciences management team, the wider neurosciences administration team and external organisations.

This includes live secretary support to meeting and use of video conferencing and other IT equipment as required.

To record attendance at, and apologies for, team meetings accurately and to circulate appropriately, to ensure compliance with spinal service standards.

To provide general administrative duties to the MDT teams, to include photocopying, filing, basic clerical duties, distributing documents quickly and efficiently, and the collection of notes.

To attend weekly MDT meetings and to keep a record of the outcome of each discussion. To use this information for minimum data set collection and waiting times.

To be responsible for the efficient collection of the Spinal Surgery Waiting Times and minimum datasets, and entry of this information onto the database as required.

To prepare regular reports to the spinal team on their performance in relation to national guidelines and take part in local and national audits as required.

To represent the Trust, at local, regional, and national spinal surgery information meetings, to further the post holders development and enable accurate and detailed data collection.

Work with information analysts to produce reports and validate data.

Maintain good working relationships with Clinicians, Specialist Nurses, clerical and secretarial staff.
