Job summary

The Academy is a ground-breaking collaboration of Leeds health, care and educational partners to create a single, joined up approach for learning and development for all health and care staff across the city. The ideal candidate for this role will be a team player who thrives in a fast-paced environment. Youll need to have excellent organisational skills, and be familiar and comfortable working in a digital, virtual environment.

Development Support Officers provide high level project and administrative support to Development Leads and Officers within the Team across a wide range of workforce development and learning and development interventions. This includes:

Providing administrative support for Academy programmes, including managing communications, scheduling meetings, booking venues, creating process maps, managing bookings

Dealing with enquiries and requests ensuring these are dealt with in a timely manner

Being highly proficient in MS Office and simple online software to support Academy activity

Excellent customer service skills as first line of contact for Academy enquiries and direct contact with the health and care workforce.

Ability to work autonomously, use initiative to problem

This role will work on a number of tasks and responsibilities within the team, however there is a particular focus on providing support to our Learning Management System, the Leeds Health and Care Learning Portal.

Main duties of the job

Every week in the Academy is different - but heres a quick taste of what one week might look like:

Monday

Kicking off the week supporting the delivery of a workshop on virtual and digital ways of working delivered via Zoom. Setting up new workshop dates on the learning portal and checking the notifications. Mailbox monitoring and responding to queries.

Tuesday

Weekly team meeting to check-in and share important updates, learning portal project meeting later that day, updating Monday.com project board and mailbox monitoring.

Wednesday

In the office. Meet with a colleague to exchange ideas on how to approach new piece of work and best use of software to deliver the outcomes we need, visit potential venue for upcoming event.

Thursday

Preparation meeting with facilitator for all day workshop next week. Follow up actions (contact participants, set up virtual meetings and share links, update calendar invites, book small office for workshop support). Test new build eLearning package on the system for full functionality and document any issues and fixes to raise with Development Officer.

Friday

Meet with line manager to review priorities, discuss development and review tasks for the week / reprioritise. Attend development meeting for our Learning Management System, recording actions and reporting back on testing of new build item.

You will work to ensure outcomes are successfully achieved by providing high level project and administrative support, highlighting and escalating any issues and risks proactively.

You will work with a range of stakeholders including adult and childrens social care, NHS Trusts, independent and voluntary sector providers, and educational institutions in the city. You will also be expected to directly engage with the health and social care workforce.

supporting meetings, workshops, workgroups and board meetings including: agenda planning and preparation, attendance, contributing to and minuting and following up actions

maintain reporting and monitoring systems to allow ease of access to programme information.

ensure there are appropriate archive systems that allow the tracing of key decisions and audit trails.
