Job summary

  • Taking responsibility for managing the secretary services across SWNS division
  • Working with the business development team to monitor the achievement of typing targets by using the voice recognition/Dragon system
  • Liaising with consultants as necessary to ensure a seamless service is provided to patients and referrers
  • Ensure weekly not checked out and pending letters reports are sent out and actioned within the appropriate timeframes
  • Monitoring departmental working and identify service improvements to streamline services / improve patient experience / reduce cost / improve efficiency
  • Overseeing department procurement ensuring that supplies and resources are adequate which includes ordering of stock and approving invoices
  • Managing the medical secretary's budget, both pay and non-pay budget, attending budget meetings and being responsible for monitoring and managing costs, escalating any concerns to the service manager
  • Escalating any concerns regarding achievement of KPIs to the service manager
  • Leading regular meetings with secretaries across the division
  • Ensuring relevant departmental policies, procedures and standards are in place

Main duties of the job

  • Working with the business development team to monitor the achievement of typing targets by using the Dragon system

  • Managing the medical secretary's budget, both pay and non-pay budget, attending budget meetings and being responsible for monitoring and managing costs, escalating any concerns to the service manager
  • Escalating any concerns regarding achievement of KPIs to the service manager
  • Leading regular meetings with secretaries across the division
  • Ensuring relevant departmental policies, procedures and standards are in place
  • To line manage a team of medical secretaries in the SWNS division including annual leave, sickness
  • To recruit and effectively induct new staff to the Trust, facilitating their personal and professional development. This involves identifying training and development needs, providing suitable development opportunities and evaluating development actions in accordance with the Trust's appraisal and training procedures
  • To manage staff's performance and to undertake yearly appraisals
  • Monitor the level and standard of work undertaken by staff and to guide, coach and advise them as appropriate. Provide briefing prior to and debriefing after all training and development activities
  • Being the first port of call in receiving, investigating and responding to complaints within the department
