Job summary
We are on the look out for a highly organised and customer-focused People Hub Coordinator to join our busy Resourcing team. This role is central to ensuring compliant employment checks are carried out and providing first-line people support across the Trust. You will be the first point of contact for staff queries, working with accuracy and professionalism to deliver excellent service.

Main duties of the job
Our people hub team provides helpdesk and administrative support for resourcing and first line support for people queries.
The people hub coordinator will provide an efficient and effective administration support for our people division, including ensuring our people compliance is in line with the NHS Employers Standards, employment law and Trust policies and procedures.
The post holder will administer employment checks and provide first line response to queries.

- Use relevant systems including; Applicant tracking system/DBS system, Electronic Staff Record (ESR), UK Visas and Immigration Sponsorship Management System, ensuring these are kept up to date
- Undertake employment check appointments, face to face or virtual, including Right to Work and identification checks
- Escalate issues to the relevant people hub advisors where there are issues relating to any post-employment checks that could affect a person employment; including fixed term contracts, professional registration and DBS
- Management of the generic inboxes or systems, including responding and answering queries on behalf of the division
- Provide basic first line information in relation to all leave and pay issues e.g. annual, career break, maternity and special leave
- Inputting of employment checks onto ESR and ensuring these are kept up to date
- Completion of honorary contracts and clinical attachments
- Issuing password resets for people systems, including ESR, Allocate, Applicant tracking system
- Support people queries which come into the people hub, including investigating queries and liaising with our payroll provider.
- Provide first level response on queries related to people policies
- Producing confirmation of employment letters and responding to reference requests
- Support the processing of visa extensions
- Ensure all relevant paperwork/documents is in the appropriate employee files
- Assist with completing terms and conditions/contracts of employment and amendments to terms and conditions
- Work with a high level of accuracy to ensure that all work produced is of the highest quality
- To ensure all telephone and verbal enquiries are responded to in a prompt, polite, friendly and courteous manner
- To participate in training and education opportunities such as team and departmental meetings/training sessions, in-house training, external training and keep up to date with mandatory training
- Provide cover to other team members where necessary
