Job summary
The post holder is required to have factual and theoretical knowledge of volunteering. Work is guided by standard operating procedures, protocols and systems of work already set up.
This role is to:
a) support the management of our volunteers; acknowledging their value whilst promoting equality, diversity and inclusion through a range of volunteering opportunities.
b) re-establish the Trust's dementia champions.
c) implement administrative processes and systems that ensure transparency and consistency - including being pro-active in making proposals to change.
d) build effective working relationships, be approachable and accessible to support the Voluntary Services Manager, Deputy Manager and Admiral Nurse/Dementia Clinical Nurse /Namaste Care Lead, in terms of effective management/use of administrative support and the provision of services for them.
e) be a key member of Voluntary Services with strategic, organisational, operational and administrative tasks involved in attracting, recruiting, managing, developing and retaining volunteers for the Trust.
f) work in conjunction with colleagues, service users and stakeholders to provide an efficient service.
g) liaise with and provide compassionate care and a listening ear for our volunteers on a daily basis, enhancing their wellbeing.
h) use Better Impact to co-ordinate information systems for record-keeping, evaluation and data, in line with IG policies.
Main duties of the job
Duties and responsibilities
To maintain all necessary records relating to volunteers on the newly established, Better Impact Database; including statutory and mandatory training compliance, complaints.
Ensure they are compliant and updated every 3 years.
- Record volunteer hours using Better Impact.
- To deliver training sessions for volunteers to complete e-learning for healthcare workers linked with eLFH.
- Process non-routine enquiries received by the department, sending out relevant information as requested, providing direct support for all enquiries, progress chasing and problem solving.
- To organise and co-ordinate meetings/conferences /training events/project or steering group meetings for the team; organising calendars; taking and distributing minutes, preparing materials/delegate packs and arranging room bookings/ catering/equipment.
- To enter accurate data to databases and spreadsheets.
- Organise, distribute and prioritise incoming mail, using judgement and experience to decide which correspondence is passed to the team and which is retained for action as appropriate.
- To promote equality, diversity and inclusion through a range of volunteering opportunities.
- To be responsible for posting/promoting Voluntary Services across social media accounts.
