An exciting opportunity has arisen in our growing Northwest Endoscopy Academy team as a Mersey School of Endoscopy (MSE) Project Support Administrator. The role is to provide specialised administrative support on a number of competing projects which the MSE is currently running. These vary greatly from arranging educational courses to supporting care navigation initiatives to pursuing innovations in AI technology and their application to endoscopic services.
The service is primarily based in the Royal Liverpool Hospital and the nearby Derwent House NHS site, however, does include an element of travelling to other HEI and NHS sites to support the delivery of courses.
This is a very exciting time for endoscopy services in Liverpool with a number of innovations to be implemented alongside these developments with the aim of providing world class services.
Our ideal candidate will have excellent customer service and organisational skills as well as having significant understanding of facilitating and coordinating educational courses.
Main duties of the job
Main Duties
- Manage and maintain the document and data control process withinthe Project Office, using defined systems
- Issue any relevant progress reports to the Project or ProgrammeManager.
- Correlation of all documentation, logging, filing and distributionaccordingly, ensuring accurate audit trail is maintained.
- Control the quality system within the Project Office, capturing allrelevant processes, and review regularly.
- To attend and minute meetings as and when required, maintain a log of required actions and decisions.
- To pro-actively manage the actions log providing updates as requiredby the Project or Programme Manager.
- Provide administrative support to the Project Team in all aspects ofwork relating to Projects. This will also include the co-ordination ofdiaries, arrangement of meetings, venues and catering requirementsetc.
- Undertaking general administration duties including typing,photocopying, distributing and filing all correspondence, dealing withincoming mail and telephone calls/enquiries.
- Maintain an effective 'bring forward' system, ensuring that deadlinesare adhered to and action is taken as appropriate.
- Provide secretarial support to the Project Team as and when required.
- Carry out any other relevant duties that may be requested to ensurethe systems within the Project Office are under control.
