Job summary

We have an exciting opportunity for a motivated admin team administrator/receptionist within the endoscopy service, this role is fixed term for 12 months.

The post holder will provide and manage the administration and procedure booking processes around the endoscopy service.

The Endoscopy service is accredited to the Joint Advisory Group on GI Endoscopy providing assurance on quality of the service offered to patients. The service offers both diagnostic and therapeutic procedures for gastrointestinal, hepatic/pancreatic and respiratory medical conditions, provided by a multidisciplinary group of consultants and clinicians. The post holder will be required to work flexibly Monday - Friday between the hours of 8am and 6pm (usual hours between 8am and 4pm but you may on occasion be required to work an evening or weekend with prior notice).

Main duties of the job

Endoscopy Unit - AintreeThe role will involve all apects of administration work within the unit, reception work, registering of referrals, booking appointments, and preparation of relevant paperwork.Candidates must have previous experience, working in an administrative environment, preferably in the NHS, and be able to demonstrate good customer care skills. Candidates will also need to have excellent communication, planning and interpersonal skills, as the role involves working with different disciplines, and requires an organised and systematic approach to tasksCandidates must be computer literate.If you would like the challenge of working in a very busy department, then we would like to hear from you.

Job responsibilities

  1. To register all health record movements on the Case Note Tracking system.

  1. To prepare health records for Endoscopy Theatre list, ensuring all necessary correspondence, referrals are available in the case notes.

  1. Print referrals from Epoc system in preparation for Theatre list.

  1. Locate all health records required for theatre list that are booked out to other

departments.

  1. Check all health records to ensure patient identification labels and relevant stationery is available.

  1. Respond to enquiries in a positive and helpful manner and deal with telephone enquiries as they arise.

  1. Work as part of a team within the Endoscopy Unit to ensure that an efficient service is provided at all times.

  1. To work as part of a team assisting with other duties within the endoscopy Unit, providing cross cover duties for other clerical staff in times of sickness/absence.

  1. General Office Duties including photocopying and filing.

  1. To provide a high quality reception service for the endoscopy department to provided cross cover in times of sickness/absence when required.

  1. Undertake training appropriate to post and identify these training needs through the appraisal system.

  1. Answer the telephone and deal with general enquiries. Specific enquires should be directed to the appropriate personnel.

  1. Utilise the SIGMA system and Unisoft in accordance with Trust Policies.

  1. Maintain patient confidentiality and comply with Data Proctection Act.
