Job summary

The post holder will form part of the Workforce, Learning and Development Team which is a collaboration between North West Coast and Greater Manchester Clinical Research Networks to provide a NW wide function. This role will supplement the team and provide additional administrative support to allow the ambitious plans for workforce and L&D to be realised. There are also four key learning programmes that are supported by CRN NWC that this role will be supporting. The role will predominantly based within the Liverpool offices of CRN NWC but may require occasional travel to meet with GM colleagues or to attend meetings/ events within the region.

Main duties of the job

Responsibility for providing a comprehensive course/training administration service & promotion of the smooth running of all NIHR L& D training events across the region as the Workforce, Learning & Development function is NW wide.

The post holder will be required to provide administrative support for a wide range of education & training programmes across the sites, both national & local programmes including maintaining quality assurance information on relevant systems.

They will be customer focused and will act as first point of contact for delegates, external customers, NIHR workforce team, facilitators/trainers in relation to NIHR training and dealing with all queries and requests. They will provide administrative support to the wider workforce team and Workforce Development Lead.

The post holder is required to use initiative to a significant level & work without direct supervision but within guidelines agreed with the line manager.

Job responsibilities

  • Administration of the NIHR Learn system and point of contact for admin related to Workforce, Learning & Development. Including co-ordinating and carrying out course administration including booking processes, sending joining instructions, liaising with facilitators, communication of flyers, arranging venues and equipment.
  • Supporting all network L&D activities/ training within the W, L&D workstream under the supervision of the WLD manager.
  • Maintain local training database, inputting, updating, and monitoring all data related to training courses delivered across the service, including attendances, course types, DNAs, etc. This data will then be used to provide activity reports.
  • Provide support/administration to the networks L&D programmes, supporting network facilitators in the planning, delivery, and evaluation of events.
  • To provide administrative support for induction programmes across the sites and quality assurance systems are maintained.
  • To support local induction arrangements for network staff and the roll out of the induction programme, and on a quarterly basis carry out spot checks on local induction documentation.
  • To undertake advertising for courses via the appropriate media.
  • Develop and maintain circulation lists from the appropriate sources and distribute appropriate information via this communication route.
  • Receiving, acknowledging, and processing course applications, and collate and/or distribute important information contained within.
  • Word processing, photocopying, and sending correspondence, course publicity, training brochures, course programmes, questionnaires and pre-course reading to participants/learners and facilitators as required
  • To act as a central hub for receiving, processing, and distributing training service documents. This includes production and maintenance of training manuals, handouts, etc.
  • Produce high quality documentation and correspondence using the appropriate software packages ensuring they are consistent with the agreed NIHR quality standards and maintaining version control.
  • Provide supervision and support to training facilitators in day-to-day activities as directed.
  • Participate in the production of written procedures and protocols for within the W, L&D service and inform staff of such procedures and protocols.
  • Contribute to the on-going monitoring and review of the training administration processes
