If you are, then Day Care Services may be for you. Based in the brand-new Oak Cancer Centre, the Olayan Day Care Unit is looking for an administration assistant/scheduler. The unit is a busy day care facility, providing care and support to patients with a wide variety of cancers. The unit will offer a pleasant environment to ensure comfort and a relaxed setting throughout the patient's pathway. We are committed to providing the highest quality care and maintaining consistently high standards in a professional and friendly atmosphere.
We are looking for a motivated and enthusiastic individual who enjoys the challenges and advantages of working in a friendly team in a day care setting. The role is busy, and you need to be able to work under pressure with the help of other members of the team.

Main duties of the job
The administrator is an integral member of the Day Care Unit team, under the supervision of the Sister of the Sister the Matron for Day Care Unit. The post holder will coordinate all administrative aspects of the Day Care Unit including reception duties, scheduling chemotherapy appointments, preparation of chemotherapy workflows, data collection, and clerical duties.

Appointments, scheduling and capacity management
- To deal with all new patient chemotherapy referrals from clinicians, ensuring that the first chemotherapy treatment is scheduled within Cancer Waiting Times targets.
- To liaise directly with the patient regarding their treatment, providing information and reassurance and managing patient expectations around the Day care unit experience.
- To liaise with the clinical teams and nursing staff to prioritise the scheduling of new referrals.
- To schedule all chemotherapy/supportive treatment on the Day Care Unit in line with local guidelines and protocols.
- To plan patient treatment and unit capacity efficiently, having consideration for a range of influencing factors such as the nursing staff rota, pharmacy turnaround times, availability of blood results etc.
- To plan ahead and to reschedule workload when necessary, to ensure that the unit capacity is optimally utilised.
- To book chemotherapy prescribing clinic and treatment appointments for all patients on the Day care unit.
- To ensure that all patients leave the Day care unit with an appointment for their next treatment and associated medical appointments.
- To reschedule appointments for patients whose treatment has been cancelled or delayed.
- To adhere to patient appointment booking processes on EPIC, ensuring that Trust procedures and local protocols are met.
- To be responsible for the administrative functions of all services taking place in the Day care unit.
- If appropriate, to ensure that all relevant paper documentation is scanned into the electronic patient record.
