Bank Physiotherapy Outpatient Admin Officer

Job summary

We are looking for an organised individual with strong attention to detail to join our friendly and supportive team.

The post holder will provide comprehensive administrative support to the Outpatient Physiotherapy Team and wider therapy services. This includes facilitating the transition to the Electronic Document Management System (EDMS) through the organisation, scanning, and uploading of patient records onto MediViewer and destruction of paper.

The role involves maintaining accurate tracking systems for paper record locations, transfer progress, and medico-legal requests. The post holder will assist with the organisation and retrieval of records, ensuring accessibility and compliance with information governance standards.

Effective communication and collaboration with patients, colleagues, and external stakeholders are essential to support the smooth operation of the service.

Main duties of the job

Communicate patient information across professions and to external bodies in a secure manner ensuring confidentiality is respected at all times.

Post correspondence to other health care professionals as necessary.

Liaise with other hospital departments including legal team, information governance in a friendly, professional, and courteous manner.

To ensure tracking systems for patient notes are completed.

Record Medico-legal requests in relevant databases and spread sheets.

Meet requests for information with dictated deadlines.

To organise, scan and upload notes onto MediViewer in line with the agreed Trust processes.

To organise the physical storage of paper notes and be able to local notes as required.

To dispose of notes in line with Trust policies.
