Job summary

We are looking for an enthusiastic, organised Medical Recruitment Administrator to provide support to the Medical Recruitment Officers and provide administrative support.

You will be able to work accurately and efficiently, both on your own initiative and as well as part of a team. You will be computer literate with excellent communication and relationship skills.

You will be joining a very supportive and friendly team.

Main duties of the job

  • To maintain responsibility for the recruitment of permanent, temporary and locum medical appointments in accordance with employment check standards identified by NHS Employers
  • To maintain responsibility for all ESR transactional process pertaining to medical personnel within the Trust in accordance with ESR and Audit standards
  • To maintain effective links with the Medical Staffing Officers ensuring all recruitment and employment issues are addressed and effectively enable the trust to carry out its responsibilities in relation to Doctors in training
  • To support Medical Recruitment Officers for ensuring that information regarding rotational trainee placements is obtained and distributed to the medical staffing team
  • Supporting the Medical Staffing team with reporting

Job description

Job responsibilities

  1. To ensure the recruitment of permanent and temporary medical appointments is conducted in accordance with the standards specified by NHS Employers.
  2. To support in matters pertaining to medical recruitment, providing effective advice and support to the recruiting managers.
  3. To ensure that all medical recruitment campaigns commence with the appropriate authorisation and that the required documentation has been provided by the recruiting manager and or Medical Staffing Officer.
  4. To promote a positive, proactive approach to medical recruitment in the Trust, acting as an advocate for open, fair and transparent practices, to ensure that the trust operates best practice recruitment standards at all times.
  5. To liaise with recruiting managers to plan recruitment timetables including advising on the processes to be followed, working deadlines and best practice, adapting practices to enable managers to recruit successfully to each vacancy.
  6. To assist with AAC panels on behalf of Medical Recruitment ensuring that correct process is followed including sending out invites, ensuring the panel is correct in terms of numbers and participants.
  7. To develop and maintain an up-to-date knowledge of the NHS terms and conditions of service in order to support managers in the context of medical recruitment.
  8. To maintain an up-to-date knowledge of relevant policies and procedures and contribute to updating of policies and procedures, as necessary.
  9. To ensure that accurate electronic records are maintained for all recruitment campaigns.
  10. To support the Medical Staffing team with all fixed term locum contracts and liaise with the authorised signatory for staff appointment, change forms and termination forms for appropriate action.
  11. To ensure pay queries are investigated in a timely manner and escalate to Medical Recruitment Officers if required.
  12. The post holder is required to process and be an authorised signatory for staff appointment, change forms and termination forms.
  13. To issue all medical staffing ID badges in a timely manner
  14. To carry out administrative tasks as directed by Medical Recruitment Officers
