Job summary
Working across the Organisational Development and Learning (OD & L) department, to deliver a efficient administration service, focussed on continuous improvement for the education and learning experience of staff, thereby enhancing the Trusts' reputation for excellence and quality.
Undertake a range of administrative duties within the OD & L service, including room bookings, course bookings, sending out pre-course reading, preparing registers, evaluations and course completions.
Working week will be: Monday 8:30 - 17:00, Tuesday 8:30 - 15:30, Wednesday 8:30 - 16:30, Thursday 8:30 - 17:00, Friday 8:30 - 16:30, with 30 minutes for lunch.
Main duties of the job
- Working with the OD & L Team to provide a first point of contact for people visiting the Learning and Development Centre, providing a "front of office" contact for all staff development enquiries, whether received by post, telephone, electronically or in person.
- Responding to training queries in a prompt, efficient and professional manner and working through the complexities of training requirements for different groups of staff.
- Responsible for the Online Learning Management (OLM) bookings system and must complete daily tasks associated with the OLM System in relation to personal and professional development, and mandatory and statutory training for employees across all levels in the Trust. Responsible for the online OLM competencies system and will need to award competencies in an accurate and in a timely manner.

- To provide administrative support to the OD & L team preparing paperwork for the Trusts Educational Funding Panel, updating their outcomes on OLM and preparing course materials for training events, handouts, workbooks, refreshments as required. Also developing and creating process documents as required.
- Provide instruction and guidance to staff to enable them to access and complete e-learning, self-service course bookings and super user room bookings.
- Responsible for the OLM entering mandatory and statutory completed courses onto OLM by the end of the month in preparation for reporting. This will involve running weekly OLM reports for quality assurance purposes.
- Work with the OD & L Manager to coordinate and organise the administration of Trust Organisational Development, leadership and apprentice initiatives. The post holder will be responsible for the smooth running of the initiatives, ensuring that suitable resources and facilities are prepared as required, liaising with applicants, training providers and managers over programme entry and completion requirements and deadlines. Additionally, for apprenticeships the post holder will:
- Set up ESR records for apprentices
- Send out apprentice applications and instructions
- Chase completion of paperwork and certificates
- Responsible for managing daily room booking emails, resolving any conflicting pressures as they arise by reallocating, rescheduling and adjusting bookings. Contacting and negotiating changes with other users as required.
