This PA role is critical role to ensuring the Care Group has an efficient and effective governance and decision making process that allows us to monitor care standards and ultimately results in improvements to patient care.
Main duties of the job
The successful candidate will be an integral part of the leadership team, central to the co-ordination and running of the Care Group Clinical Governance and Performance Board meetings. Additionally they will be responsible for effecting a variety of other clinical and operational meetings and discussions relating to the quality and standards of care we are providing. Outside of the structure of board and other routine meetings, the role will be varied and interesting with daily problem solving challenges that can require anything from simple common sense solutions up to creative and innovative ones.

To provide PA service to Perioperative & Critical Care management team in order to help ensure the smooth and efficient running of the programme
To be the first point of contact for visitors and telephone callers, providing callers with the information, advice and guidance to meet their needs. To ensure that all visitors and callers are handled in a manner that enhances the reputation of the programme
Within parameters agreed with the Perioperative & Critical Care management team, make judgements and take actions necessary to resolve enquiries, requests and issues raised by managers, staff, external organisations and members of the public
To ensure that the Perioperative & Critical Care management team is fully briefed on issues as they arise, determining the priority of the issue and, as necessary, obtaining and collating the information needed to enable the team/individuals to make an informed decision
To manage individuals diaries as necessary, making decisions on whether and when appointments are made, based on the issue, the needs of the caller and the workload priorities and commitments of the individual

- In depth experience of working as a senior secretary or personal assistant for a manager/clinician operating at a senior level within an organisation
- Experience of providing an effective customer service, including to customers who may be stressed, upset or angry
- Experience of appropriately dealing with confidential and sensitive information
Skills

- Ability to write /draft complex letters and simple written reports and proposals
- Ability to take and transcribe formal minutes
Qualifications
Essential
- Good general education level or equivalent knowledge and skills gained through any combination of alternative study, employment or voluntary work
- RSA II or above or equivalent skills
Knowledge

- Strong working knowledge of a wide range of administrative procedures gained through training and experience in administrative posts
- Dealing with people and difficult situations
- Advanced knowledge of MS Microsoft; Excel, Word Power Point gained through training and experience
