Job summary

The Workstream Lead will be responsible for not only the delivery of the workstream but will also playing a key role in the planning, design, and the implementation of the new Electronic Patient Record (EPR) system across Moorfields Eye Hospital NHS Foundation trust.

Main duties of the job

The post holder will be acting as the dedicated senior liaison between the department and the EPR team, ensuring that feedback from the clinical teams is incorporated into every phase of the solution design for each area. Additionally, they will be responsible for coordinating testing and implementation of the proposed new solutions.

The post holder will provide leadership and practical support to the local workstreams and clinical teams to take forward improvements and new ways of working, enable successful service transition, drive operational change, and help realize the qualitative and quantitative benefits available with a fully integrated electronic patient record.

The post holder will work with the wider workstream and clinical teams to ensure alignment of priorities to achieve the overall programme plan and support staff to develop and improve the new EPR for all clinical services across the Trust. Improving patient safety, quality of care and patient experience is an explicit priority rather than an assumption and needs to underpin all elements of the implementation and beyond.

Job description

Job responsibilities

The post holder will ensure appropriate planning and support is in place to enable successful service transition, from paper to EPR, and to drive operational change whilst removing unwarranted variation. This includes providing practical support to both the wider Implementation Team and clinical teams across the Trust and sharing functionality and anticipated configuration of the new EPR and how operational processes could align.

The post holder will be expected to drive an ongoing cycle of process improvement, continually identifying areas of opportunity for development and work with appropriate teams to implement system improvement.

The post holder will also work closely with clinical teams to ensure alignment of goals and priorities to achieve successful implementation of the new EPR, working as a liaison between clinical and operational service workstreams, various IT Teams and the system suppliers.

The Workstream Lead will be responsible for coordinating the local team and the team of change partners to work with the supplier and clinical and operational transformation leads to design the clinical configuration, facilitating updates or development of standard operating procedures for the new processes developed for the EPR module, leading to a successful implementation of the EPR deployment.

The role will be responsible for Leading the local workstream in developing processes and system design for their agreed area of scope.

Coordinating workstream activities to ensure alignment across the respective multidisciplinary teams and other workstreams, identifying interdependencies and assigning mitigating plans where appropriate/required to ensure the plan remains on course for delivery within the agreed timeframe.

Ensuring systems and processes of the new EPR and integrated care systems are embedded into operational and clinical working. This will require the post holder to have a detailed understanding of service requirements, benefits realisation opportunities afforded by the new EPR and be able to contribute and develop local policies and protocols to ensure both service and implementation needs are met.

Development of Standard Operating Procedures and policies relating to the safe and accurate implementation of the new EPR.

Influencing leadership at all levels to actively promote engagement around the Programme, utilising appropriate change tools.

Working collaboratively with all members of the Implementation Team and the Programme Manager, the post holder be responsible for ensuring their workstream activities are delivered within agreed timescales, appropriately escalating when problems arise and identifying mitigating actions to ensure the programme timeline is adhered to.

Oversight and responsibility for current state analysis across all pathways and functional areas within their agreed area of scope.

Have an understanding of the project and the associated timelines and be able to devise plans making sure the delivery of the departmental workstream timelines.

Facilitating agreement on the future state workflows and system design using the relevant identified Subject Matter Experts within the organisation based upon Oracle Healths recommend Future State Workflows.

Identifying and escalating risks, issues, and process gaps to the project management team.

Being familiar with and interpreting the National standards and requirements which need to be considered for the system design within their agreed area of scope.

Monitoring workstream progress through audits and write reports for the Project Steering Group/Project Board and wider EPR team, including performance against targets.

The post holder will be responsible for creating options appraisal for any EPR related training options by exploring financial costs / benefits.

The post holder will be able to sign as an authoriser for time-sheets of Bank or Agency staff, providing services within the EPR scope of works

Provide leadership to all staff within your area of responsibility and provide advice relating to clinical interventions, policies, service development and delivery.

Use professional judgement to intercede and act as advocate for patients to ensure a patient focused approach to the delivery of care.
