Moorfields' Stars, our annual flagship award scheme and biggest recognition event supported by Moorfields Eye Charity, celebrates staff and volunteers for their professional and personal achievements throughout the year and, in some cases, throughout a long history with Moorfields.

Last year's Moorfields Stars event was incredibly successful with a record number of staff being nominated for their hard work and dedication.

We are looking for an enthusiastic, proactive and organised project manager to lead Moorfields' Stars of 2024. The post holder will be responsible for planning, managing and delivering Moorfields' Stars and ensuring the project is completed according to the allocated budget and timeline. This is an exciting opportunity to play a key role in one of the biggest annual engagement events in the Moorfields' calendar.

Accountable to the associate director of communications and marketing, the post holder will manage the end-to-end delivery of the recognition programme and event, working closely with the communications team to ensure that communications are engaging, appropriately targeted and timely.

Main duties of the job

Assume the lead operational role on the project and develop, oversee, manage and deliver the end-to-end project plan for the award scheme and event.

To be able to deliver this project you will need to:

  • Work closely with the hospital's executive team and key staff across the organisation
  • Maintain the budget and ensure milestones are met according to the agreed timeline.

  • Execute the award ceremony event including: administration of invitations and management of the attendee list; scope and book the venue and finalise the contract including audio visual arrangements; confirm catering requirements, logistics, entertainment and table decoration; agree the event programme and speakers.

  • Multi-task, cope with changing priorities and interruptions and make adjustments when necessary.
  • Use analytical skills to consider and interpret multiple options and exercise judgement to reach a conclusion.
  • Launch and manage the nomination process internally and externally.
  • Manage and lead the judging panel process.
  • Plan and execute the award ceremony event including: administration of invitations and management of the attendee list; scope and book the venue and finalise the contract including audio visual arrangements; confirm catering requirements, logistics, entertainment and table decoration; agree the event programme and speakers.
  • Review and streamline processes to reduce administrative resource.
  • Ensure value for money throughout all activities.
  • Work closely with the small project team to lead the project, problem solve and ensure that tasks are delivered on budget and to the desired timescale.
  • Negotiate and effectively manage relationships with the venue and suppliers.
  • Handle sensitive and confidential information with tact and diplomacy.
  • Ensure effective stakeholder engagement with staff across the Moorfields network and senior stakeholders at Moorfields, Moorfields Eye Charity, Friends of Moorfields and the UCL Institute of Ophthalmology.
  • Work closely with the communications team to promote the awards scheme, generate nominations and ensure that internal and external stakeholders are engaged including: staff, patients and their carers, friends and family, volunteers, members, partner charities and members of the public.
  • Recruit, manage, coordinate and oversee event volunteers.
  • Maintain the budget and ensure milestones are met according to the agreed timeline.
  • Manage, negotiate and implement contracts with external providers and suppliers.
  • Ensure legal obligations are met with the venue including: insurance certification, method statement, specific risk assessment, PAT certification for electrical appliances.
  • Identify and agree measures of success to evaluate the award scheme and event and make recommendations for improvement.
