We are looking for an enthusiastic person to join our Recruitment Team as a Recruitment Administrator.
The successful candidate will provide a comprehensive, end to end recruitment service, liaising with managers of all levels across the trust to provide advice and guidance in all aspects of the recruitment process.
Taking responsibility for the administration of the end to end recruitment process for posts at all grades.
You will be passionate about recruitment and have the desire to deliver a high-volume and high quality recruitment service. Embracing the challenge of working in a highly demanding environment where excellent customer service skills and attention to detail are paramount, a flexible working attitude is essential, along with the ability to work to ever changing demands and priorities.
The workload is varied, therefore your ability to prioritise your work with minimal supervision, as well as working as part of a team, is essential.
You will be required to know how to process end to end recruitment. You will also have good knowledge / experience on using TRAC, NHS Jobs and ESR.
Main duties of the job
The ideal candidate will need to know how to use our applicant tracking system (TRAC) which we use for requisitioning and on-boarding. The role will require flexibility to your working approach. You will be working in a fast-paced environment and will be required to work towards our trust KPIs.
You will have excellent communication skills as there is a requirement to have regular contact with internal /external stakeholders.

The Recruitment team consist of one Recruitment Manager, x1 Recruitment Team Lead, x3 Recruitment Officers (including this post), x1 Recruitment Support.

MAIN RESPONSIBILTITES
- Responsible for effectively administering the end to end recruitment process for assigned vacancies including quality checking and placing adverts on NHS jobs, arranging interviews, issuing conditional offer letters and issuing contracts of employment.
- Responsible for processing volunteer on-boarding and liaising with Friends of Moorfields to ensure a robust process is followed.
- Responsible for processing the on-boarding for AFC Honorary appointments.
- Coordinate pre-employment checks such as DBS, ID verification, professional registration checks and reference checks for successful candidates.
- Provide an advisory service to hiring managers and applicants to ensure timely completion of recruitment activities and to ensure adherence to recruitment processes, legislations and best practice.
- Provide information, advice and coaching for hiring managers regarding the correct use of NHS jobs, Trac and other recruitment systems.
- Liaise with hiring managers, applicants and support staff within the recruitment team to ensure on-time delivery of services.
- Liaise with the Recruitment Advisers and Recruitment Manager to ensure on-time completion of pre-employment checking within agreed KPIs.
- Correct utilisation of the recruitment systems to issue relevant correspondence to applicants and successful candidates.
- Process certificate of sponsorship and dual sponsorship applications when necessary.
- Order stationary as and when required.
- Provide assessment and selection centre support as required.
- Responsible for communicating with hiring managers and candidates regarding advert placement, applicant status and selection processes.
- Ensure that high standards of service delivery and quality standards are maintained in the areas of recruitment and selection.
- Ensure delivery of team KPIs relating to recruitment time lines and report team performance or procedural issues to the Senior team to help deliver a high level of internal and external customer service

- Inputting starters onto ESR within payroll deadlines and ensuring that starter paperwork is delivered to the payroll department in a timely manner.
- Meet the requirements of resourcing Service Level Agreements identifying and addressing compliance issues.

- Implement changed process and practice, to ensure quality standards and effectiveness of recruitment within the trust.
- Support outcomes from such projects that will increase efficiency, compliance and high impact customer service within the workforce resourcing function.
- Support and implement outcomes from such projects that will develop and promote Moorfields Eye Hospitals employment brand.
Information resources
- Maintain electronic filing systems, ensuring security and confidentiality of information, record keeping, and archiving information.
- Ensure accurate data collation and information provision.
- Provide regular reports and updates to managers regarding their recruitment campaigns.
- Represent recruitment team at divisional meetings supporting HRBP
- Hold regular drop in sessions with divisional managers to discuss recruitment activity
Communication
- Provide, receive, and deal on a daily basis with sensitive and confidential information.
- To be the first point of contact for general recruitment enquires and to provide advice and guidance to hiring managers regarding the processes, e.g. how to complete relevant forms, which form to use, what information is required etc. Some queries may require detailed explanation.
- Be able to motivate and persuade others through effective communication skills, with the benefit of verbal and non-verbal skills, using written and electronic information where needed.
- Maintain close links, communication and liaison with all parties involved in the recruitment process.

- Keep abreast of new developments relating to recruitment.
- Be pro-active with regard to learning from other recruitment bodies, keeping up to date with employment law, and learning from other staff and staff groups within the Trust.
