Job summary

Doncaster and Bassetlaw Internal transport department provide a range of essential transport services to various care divisions across all the Trust sites and within the local communities.

The Estates Directorate and Transport Department is currently looking to appoint a Transport Coordinator Officer to complement the existing team tasked with the knowledge and awareness of the various service requirements associated with Internal transport services across the Trust sites.

Providing internal transport services that are accessible to the following

  • Secondary Care providers - DRI, BDGH,MMH
  • Primary care providers - NHS Doncaster GP surgeries
  • Local Authority/Social Services
  • Other Authorised Clinicians
  • Commissioners

Main duties of the job

The post holder will be responsible for the provision of an efficient, safe and reliable internal transport provision service to all users in the following aspects:

  • Internal bookings/requests
  • Out of Area requests
  • GP and Local Authority Bookings
  • Screening of PTS bookings in line with current eligibility criteria

A polite, courteous and friendly approach to work is essential along with the ability to communicate well with others at differing levels within the organisation. High regard for quality and attention to detail with a flexible approach to the operation of the service.

Job description

Job responsibilities

JOB PURPOSE

To coordinate the various internal transport service resources associated with the transport activities across the Trust, including couriers, contract taxis, shuttle bus services.

When booking transport, ensure that all bookings are accurately provided in line with eligibility criteria.

At all times responding to patients, members of the public, hospital and ambulance staff in a courteous and helpful manner

  1. MAIN DUTIES/RESPONSIBILITIES
  • Access information from a variety of computer and manual systems to ensure all requests for transport journeys can be booked and screened in accordance with the Trusts Transport Policy and National Eligibility Criteria.
  • To validate and co-ordinate all transport requirements by planning and organising all requests to provide Trust employees and its service users with a reliable and timely service.
  • Use of PC/VDU
  1. Validate and update information
  2. Input appropriate financial data associated with costed and non-costed activity for reconciliation purposes.
  3. Accurately record all data fields
  4. Print and validate transport list
  5. Update and maintain monthly stat performance spreadsheets
  • Communicate effectively and sensitively with patients and staff in respect to vital details relating to their transport requirements, working to strict protocols
  • To reduce the duplication of patient transport by maximising the utilisation of existing resources including the Trusts Courier Services, Hospital shuttle Service and internal PTS Service.
  • Obtain all relevant information in relation to each request for transport, validate in line with eligibility criteria and book as appropriate
  • To process all transport requests for internal patient ambulance transport via the request booking number to fulfil the requirements of patient transport for the Trust, e.g. in-patient, outpatient and discharges.
  • Provide the Patient Transport Service with a validated list of journeys to be booked and planned in a timely manner either manually or electronically
  • Create and maintain positive communications to ensure effective working relationships with patients and colleagues both within and outside the service
  • Adopt a polite and professional manner at all times
  • To ensure that the mode of transport requested is appropriate for the intended purpose.
  • To record all patient and non-patient transport utilisation in a clear and accurate manner to provide qualitative and quantative data for monitoring and auditing purposes.
  • Ability to work independently and as part of a team
  • To assist with training and development requirements of new starters
  • To contribute to the smooth running of the DBTH Transport services
  • Provide cross site support if and when required at Doncaster and Bassetlaw Hospitals

  • Working in a customer/client focused role. Experienced and competent with working with PC's and key board skills.

Desirable

  • Previous experience of working within a healthcare setting - NHS or private health sector. Experience working in an office 'admin role and various clerical activities associated with such roles.

Qualifications and training

Essential

  • Educated to GCSE/"O" Level or equivalent. Relevant NVQ level 2+ in customer services or demonstrable experience.

Desirable

  • NVQ level 3 customer care/service, Relevant IT qualifications - ECDL, CLAIT or relevant experience

Interpersonal Skills

  • A calm and sensaitive manner. capable listening skills and basic understanding of data Protection Act requirements.
