Job summary

This is an exciting opportunity to join DBTH as a Clinical Receptionist and Booking Clerk within the People and OD Directorate. You will be primarily involved in managing calls via the Staff Absence Line utilising the ATOS phone system via your laptop. This process includes, recording of absence detail into a database, calling staff back to gain more information, booking covid-19 swabs and answering queries in relation to absences. You will also be involved in processing swab results, managing the absence inbox, and resolving data quality issues on a rotational basis.

You may also have some involvement in the booking related to the Covid Vaccination Programme and contribute to ensuring that queries related to this are responded to in a timely manner. If you are a positive, friendly character who thrives on good customer service, this is the role for you. The role will be fast paced and varied.

Main duties of the job

Maintain a high standard of absence data in our systems via extracting and inputting data from the staff absence line into a database.

Answering queries regarding Covid Vaccination Bookings and assisting staff to book appointments from across the Health and Social Care South Yorkshire region.

Responsible for dealing with absence data discrepancies, including investigation and correction on databases and systems.

To provide an excellent service to customers telephoning the staff absence line; ensuring data is accurately input into the database and calls processed in a timely manner.

Contacting staff members on the phone to identify their requirements and clarify information, ensuring sensitivity when discussing personal details.

Arranging covid-19 swab tests via the drive-through swabbing station and by arranging couriers, using scripts provided.

Ensuring covid-19 swab results are accurately input into database in a timely manner and high level data is reported to relevant third parties.

Responding to email queries from managers and staff members about data in the database,rectifying any errors where applicable.

Extracting call-back reports and working through returning staff calls to ensure records arecomplete.

Working through data queries and investigating any identified discrepancies, escalating when needed.

Sign-post callers to other support within the Trust as applicable.

Ensuring confidentiality is maintained at all times.

Keeping abreast of changes, which will be communicated, in a fast-paced environment.

Qualifications

Essential

  • Minimum of 3 GCSEs including English and Maths at Grade C or above or equivalent qualification
  • OCR/RSA/NVQ Level II or completion of a Business and Administrative Level II Apprenticeship or demonstrable equivalent qualification and experience in keyboard skills and typing

Desirable

  • ECDL or equivalent

Knowledge

Essential

  • Previous administrative experience
  • Demonstrable working knowledge of Microsoft packages including Word

Desirable

  • Previous hospital or NHS experience working in a clerical/administrative role
