Job summary

The post holder will assist the Medical Secretaries in providing an effective and efficient support service to clinical teams, maintaining robust systems and processes that are in place for administrative management of the patient pathway. They will provide an efficient audio typing service to ensure that clinical correspondence and all associated actions have been actioned in a timely manner to ensure smooth progress throughout the patient pathway in line with clinical requests.

Main duties of the job

You will work flexibly as part of the team producing clinical correspondence using Medisec digital transcription software, from outpatient and inpatient attendances ensuring clinical line of priority and chronological order

Previous experience of working in a clerical administrative role is essential for this post. Knowledge of medical terminology is desirable. You will be required to promptly file correspondence and investigation results into case notes in line with the trust policy, ensure accuracy and recording of all clinical events as part of the patient pathway, and provide general administrative support where required across the whole team.

Job responsibilities

  • Type clinical correspondence using the audio dictation system, according to clinical priority and chronological order in line with agreed standards of speed/accuracy.
  • Promptly file correspondence and investigation results into case notes, in line with Trust policy.
  • Ensure that all correspondence is checked and digitally signed by the appropriate consultants, in line with timescales, escalating where backlogs are developing
  • To liaise and assist Medical Secretaries, and others, in order to ensure correct administration of the patient pathway, system updates and effective utilisation of clinic capacity.
  • To prioritise own workload appropriately, referring any service concerns to the Team Leader in a timely manner.
  • Ensure all clinical events as part of the patient pathway are requested and received in a timely manner and in line with RTT and other pathway timeframes.
  • To provide general administrative support where required across the whole function of the administration team

Qualifications

Essential

  • Minimum of 3 GCSEs including English and Maths at Grade C or above or equivalent
  • OCR/RSA/NVQ Level II or completion of a Business and Administrative Level II Apprenticeship or demonstrable equivalent qualification and experience in keyboard skills and typing

Desirable

  • ECDL or equivalent IT qualification

Experience

Essential

  • Previous experience working in a clerical/administrative role
  • Demonstrable working knowledge of Microsoft packages including Word

Desirable

  • Previous hospital or NHS experience working in a clerical/administrative role
  • Knowledge of Medical Terminology
  • Knowledge and understanding of RTT National and local waiting time rules
