Job summary

Do you possess strong leadership, creative and managerial skills? We are looking for a resourceful and energetic individual to join the Volunteer Services team, and under the Head of Volunteer Services, lead the large volunteer team. GOSH boasts a 1,000 strong team of volunteers who provide a wide variety of support to patients, families, and staff.

The Volunteer Coordinator's main role is to coordinate the work of volunteers across the Trust, including selection and placement of volunteers, induction, planning activities and events, and the on-going support and personal development of volunteers.

You will have experience of managing large teams of volunteers, knowing how to support, motivate and encourage them. We are looking for someone with excellent communication and organisational skills, as well a team player who loves a challenge in helping us continue to develop the volunteer programme.

Main duties of the job

The Volunteer Coordinator will over-see the large volunteer programme, managing a wide range of volunteer roles, including liaising with external organisations' volunteers.

To co-ordinate and evaluate all volunteering within the Trust. To assist with the recruitment, induction, on-going training, support, supervision and monitoring of volunteers. To ensure patients, volunteers and staff needs are met.

To manage the volunteer placement process according to Trust policy. To meet specified timescales for that process and to meet planned performance indicators.

To assist in the coordination of Trust events, children's parties and special activities involving volunteers.

To manage the volunteer management systems and maintain accurate and accessible records.

To communicate complex information effectively to large groups of volunteers and provide support to them.

To provide day to day management of all volunteers (including individual and external organisation groups), ensuring that volunteer

Pre Volunteering Procedures

  • To provide a responsive, high quality and efficient volunteer coordination of all volunteering in GOSH, in accordance with Trust Volunteering Guidelines and Policy and National Guidelines
  • To assist in the formulation of a co-ordinated recruitment programme for volunteers which reflects the culturally diverse nature of the GOSH patient base
  • To be the lead on shortlisting volunteer applicants for recruitment
  • To assist the Volunteer Recruitment Officer where needed in the recruitment process

  • To over-see all pre-volunteering requirements, including any administration

Volunteer Management

  • To be responsible for the role selection and placement of all GOSH volunteers
  • To provide direct support to volunteers as and when they ask for it
  • To coordinate emotional support for all volunteers through existing support services in GOSH: Bereavement Services, staff counselling, etc.
  • To provide direct supervision for particular volunteers whose role is not covered by a ward or unit
  • General and on-going communication with volunteers
  • To assist the Head of Volunteer Services in the creation and implementation of new volunteer roles across the Trust
  • In liaison with the Head of Volunteer Services, to advise staff on the appropriate use of volunteers and in consultation with staff, to develop further methods of engaging volunteers
  • To assess individual requests from staff for volunteer input and responding when suitable volunteers are available
  • To liaise closely with other external voluntary groups, i.e: Scouts & Guides, Radio Lollipop, Spread a Smile, Rays of Sunshine, etc.

Communication

  • To be responsive to volunteers during the placement process
  • To build relationships and liaise with ward and other appropriate staff, offering advice, guidance and monitoring to ensure volunteer activities are effective and appropriate
  • To maintain links with other volunteer coordinators/managers across the UK and to ensure on-going good practice in volunteering
  • To contribute and assist in the regular communication avenues for volunteers and staff
  • To contribute to Volunteer Services profile on the GOSH website and other digital outlets

Planning

  • To work with the Head of Volunteer Services to develop new strategies to meet changes in practice and legislation
  • To assist in the provision of information, advice and guidance on the involvement of volunteers within the Trust, to Trust staff and the general public
  • To work with the Head of Volunteer Services, leading on developing training programmes for all volunteers
  • To work with the Head of Volunteer Services to develop and implement general and specific recruitment and publicity programmes for the department
  • To work with the Head of Volunteer Services to develop and implement new projects involving volunteers within the Trust taking a lead on implementation of these projects
  • To manage new projects involving volunteers within the Trust, assisting with drafting of project plans and operational policies as necessary
  • To work with the Head of Volunteer Services and Patient Experience to monitor the needs of patients/families and staff within the Trust
