Job summary

An exciting opportunity has arisen for Reception / Admin position to work within Children's Specialist Services based at Sudborough house, St Mary's hospital. The position is for 22.5h, 3 days a week, Monday to Friday 9am-5pm.

We are seeking individuals who are enthusiastic, compassionate, flexible and creative in their approach and will work within a small friendly team and the wider multi-disciplinary team to provide quality customer service and effective administrative support.

Main duties of the job

The role involves being the first point of contact for Children & Young People, their families and other professional accessing our services, therefore excellent customer service and communications skills are required. Complete administrative tasks, greet children, young people, and their families in the reception area with a smile and positive attitude. Maintain waiting room in a clean and tidy condition. Have an oversight and monitor PPE, various equipment, and stock levels. Take part in stationery ordering. Experience in customer service is essential.

Key Responsibilities:

  • To work as part of a team carrying out Reception duties for the Service.
  • General Admin functions to include answering telephone, email, scanning, photocopying, and post.
  • Be first point of contact for anyone accessing Children's Services, Sudborough House, via telephone or in person.
  • To be responsible for monitoring and ordering stationery for Reception area.
  • To support function of SystmOne.
  • Management of Room Bookings System - escalating any challenges to the Service Manager.
  • Have an overview of room availability and maintain the room booking system.
  • Take initiative in completing weekly/monthly/yearly fire safety checks, report to estates if required.
  • Preserve and uphold confidentiality of all patient information.
  • Undertake any other tasks as may reasonably be requested.
