Job summary

Are you an experienced, enthusiastic and motivated Administrator?

We are looking for a committed individual to provide effective administrative support tothe District Nursing and Community Therapy Service teams in West Oxfordshire.

This is a varied and demanding role that will provide opportunities for developing processes within a friendly team of clinicians and administrators to ensure patient needs are met and that accurate paper and electronic records are maintained.

Main duties of the job

The District Nursing and Community Therapy teams provide specialised care to patients within their own homes, for example when they have been discharged from hospital or to provide ongoing care.

In this varied role, you will have an active involvement in supporting Trust policies for core tasks, health & safety, auditing and maintaining accurate records. There will be opportunities to work directly with clinicians, minute meetings and develop processes.

You will need be able to work calmly and efficiently in a busy environment, motivating and supporting the administrative team and be able to work autonomously.

You will support our clinicians to book appointments, maintain patient records and ensure patient stock levels are maintained.

What we need from you!

  • To assist the service/team in all administration duties relating to the day to day running of the team/service.
  • To assist in the provision of high standards of data collection and analysis and ensuring paper and electronic information is updated in a timely manner.
  • To provide a polite and efficient reception service to visitors if required.
  • Organise own workload and act independently within appropriate guidelines.
  • Order, check, maintain and distribute equipment and supplies for the team and other agencies as required (this will include manual handling of stock and equipment and training will be provided).
  • To perform general office duties including responding to email and phone enquiries, answering the telephone, taking and recording messages accurately, responding to queries appropriately, following Trust procedures and protocols and organise the maintenance of the filing systems for the service/team.
  • To take accurate action notes and minutes as required.
  • Arranging meetings and maintaining diaries.
  • To code and forward invoices for payment.
  • To collate staff records regarding training, annual leave, and sickness, including Turnaround Documents (TADs) and e-rostering.
