Job summary

Main duties of the job

To support the Team Manager in achieving Trust targets on data quality by reviewing reports and monitoring the timely entry and quality of data input.

Be responsible for the production, analysis and presentation of a range of routine and ad hoc performance and business reports for the team, ensuring that information provided is timely, relevant and accurate.

To monitor and assist with the admin workload ensuring that all tasks are covered and completed.

Job description

Job responsibilities

To have oversight of the OEIS teams ongoing action plans arising from audits/inspections/complaints/incidents.

To provide day-to-day resource planning for the admin team, identifying gaps in the rota and taking action within agreed protocols.

To be a central point of communication for the Consultants, Team Managers and Service Manager, using own initiative to deal with phone calls and emails with appropriate actions and urgency. To also carry out ad hoc tasks as requested by the Team Manager, Deputy Managers and Service Manager.

To maintain and develop the systems for managing Teams folders/channels and paper filing, personnel records and communication within the team, including the maintenance of local spreadsheets for audit purposes

To provide supervision for administrators, ensuring that the OEIS leadership team and team are provided with comprehensive, efficient and effective administrative support.

To undertake administrators annual personal development reviews and ensure mandatory training is up-to-date.

To support the Team Manager in the prompt delivery of all the team reports and returns.

To oversee the use of annual leave and practices around time-owing, identifying and escalating any patterns and trends to the Team Manager. Prompting individuals to remain within annual leave guidelines and ensuring time-owing accrued/owing does not exceed limits agreed with Team Manager.
