Are you an experienced, enthusiastic and motivated Administrator?

We're looking for a committed individual to provide effective administrative support to the all age Mental Health Senior Management Team (SMT) for the Oxfordshire & BSW Mental Health Directorate (OBSW).

You will support the senior management team and the rest of the administration team in making sure it is well organised and efficiently run - this helps to assist the Directors and SMT in the development and modernisation of clinical services and administration processes. You will also provide efficient business support to the SMT and Directors.

If you believe you have a flexible 'can do' attitude, with strong administrative and interpersonal skills along with the desire to be part of a friendly, busy team, then this could be the job for you.

This role will include hybrid working opportunities.

Main duties of the job

  • Responsible for the day to day administration tasks for the SMT
  • Ensure all correspondence/reports/papers are professionally and accurately presented and returned to deadlines and in line with SMT assurance framework.
  • Ensure administration processes and procedures are adhered too
  • Responsible for equitable administration support across the SMT and as directed
  • Responsible for SMT agendas, minutes, action plans, organising meetings for SMT Directorate Meetings
  • Facilitate good communication systems with the SMT and ensure that information is disseminated appropriately and efficiently.
  • Prepare presentation materials as required
  • Support recruitment functions for the SMT, loading on TRAC, monitoring and responding
  • Coding and forwarding invoices for payment
  • Managing electronic diaries for SMT

  • Experience of organising and developing administration systems and procedures
  • Experience of creating and managing spreadsheets and large quantities of information and data collection systems
  • Experience of producing and analysing reports
  • Experience of dealing with complex and challenging situations
  • Experience of managing staff

Desirable

  • Previous experience in an administrative role in a healthcare or social care setting

Qualifications

  • A levels or equivalent
  • GCSEs or equivalent Grade C or above in English and Maths.
