Job summary

We are looking for a committed and passionate individual to join our dynamic Complex Needs Service as an Administrator.

The Complex Needs Service provides psychotherapeutic interventions for those diagnosable with personality disorder. We deliver services across both Buckinghamshire and Oxfordshire. You will be based in Buckinghamshire while working closely with our administrator in Oxfordshire and providing cross cover when needed.

You will play an essential role in supporting vulnerable people to access the service via phone and e-mail support, and to provide a quality service provision for service users and their families / supporters.

You will also be a key player in establishing safe and effective administrative systems and processes within the team in collaboration with other team members, and will be fully integrated within the clinical team, providing a full range of administrative services to support the referral/ treatment process.

Main duties of the job

Communication, responsiveness and excellence in customer service with the highest regard for service experience will be at the heart of the service, and the you will use your skills and personal style to make this a reality.

The role will include day-to-day organisation of systems to ensure the smooth running of the office, post management. monitoring of inboxes, inputting referrals and other clerical duties. Additionally, you will facilitate good communication and liaison with patients and their families, colleagues within the Trust and across other organisations.

You will also be responsible for maintaining databases by collecting and inputting of data relating to Team activity and reporting information as necessary.

We'll need you to be able to work in a changing and dynamic working environment and have excellent attention to detail.

Job responsibilities

Applicants must have a Higher Education qualification (i.e. 'A' Level/NVQ III standard) or equivalent/previous experience in an Administration Assistant role.

This service operates 5 days a week, Monday Friday 9am - 5pm.

Please note:

  • New starters have a 6 month probationary period. This, together with the induction process aims to create a positive supportive working environment allowing new employees to learn key elements of their role over a reasonable timescale.
  • Candidates not currently employed by the Trust who attend an interview for non-qualified Band 1-5 posts are required to undertake numeracy and literacy assessments.
  • Appointment to this post is subject to the trust receiving satisfactory references covering 3 years of employment or study. Please ask your referees to respond promptly to reference requests.
  • Employees are expected to undertake mandatory and statutory training related to their role.
