Job summary
Working within the People Services Department, you will support the recruitment and selection of prospective employees by providing an efficient, effective and confidential service. The Recruitment team supports the Trust to recruit to vacancies across a wide variety of areas.
You will need to demonstrate outstanding communication and organisational skills together with strong knowledge of a recruitment process. You will have worked in a busy recruitment environment, have experience of prioritising work tasks and working to tight deadlines.
You will need excellent innovative skills, confidence with IT, Microsoft Office packages (Excel/Word) and the ability to search and source information to answer queries precisely.
Previous experience in a Recruitment consultancy/departmentor a strong understanding of recruitment and HR would be desirable.
Main duties of the job
The postholder is required to work as part of the Recruitment Team and will be responsible for providing Appointing Officers with an efficient and effective recruitment service.
To administer the recruitment process from the management of vacancies on the on-line recruitment service, advertisements, co-ordinating shortlisting and interview arrangements, production of letters and contractual documentation and monitoring of employment checks

- To process the above processes and documentation for managers in accordance with the agreed timescales.
- To develop and maintain effective filing and bring forward systems to support the recruitment process and meet the departmental standards.
- To provide an efficient customer focused service to staff managers and potential candidates who visit or contact the department dealing with queries promptly, taking action as necessary and directing accordingly.
- To prepare and send out high quality application packs and log completed and returned applications onto the Electronic Staff Record (ESR) computer system.
- To prepare recruitment paperwork and packs on behalf of managers including correspondence relating to shortlisting forms and invite to interview letters.
- To prepare and issue the appropriate recruitment documentation including; sending out reference requests, Occupational Health checks, appointment letters, regret letters and statements of terms and conditions of employment.
- To complete DBS documentation and/or Registration Authority documentation and ensure, where appropriate, new starters receive the correct checks in line with DBS guidance and Registration Authority rules and procedures such as the Authentication Level 3 criteria.
- To ensure that invoices for DBS registration, Sponsorship Certificates and advertising are processed in accordance with deadlines for payment.
- To complete all internal re-charging for DBS on a monthly basis.
- To check that professional registrations are up to date prior to preparing offer letters.
- To apply for sponsorship certificates for staff where necessary ensuring that staff are working legally within the Trust and to maintain accurate records on ESR.
- To ensure the administration of all new starters is completed on the Trusts HR system in a timely manner and in accordance with payroll procedures.
- To support the HR Business Partners in the redeployment process by monitoring the redeployment register
- To ensure that all new starter packs for induction purposes are prepared and ready for use.
- To assist in monitoring the recruitment process to ensure that it is valid and non discriminatory and adheres to equal opportunities and diversity legislation.
- To assist in the compilation of recruitment information for the Trust Board and other Management reports, when required.
- To assist at Recruitment and Careers Events within the local area.
- To act as the first point of contact for a wide range of general enquiries received by the Human Resources Department. These will include telephone or personal enquires relating to annual leave entitlements, vacancies and recruitment procedures such as basic advice on terms and conditions.
- To ensure effective communication within the Human Resources Department in particular by ensuring effective handovers prior to planned absence within the team.
- To monitor the departments stationary and inform the appropriate personnel of the items required.
