Job summary

Northampton General Hospital has an opportunity for an individual who thrives in a busy environment and who enjoys multitasking. The HR Locum Centre is looking for an enthusiastic, flexible and hardworking team player to join as a Locum Administrator.

Main duties of the job

The successful candidate will be sourcing temporary staffing through both the NGH Internal Bank and external framework agencies, with the focus on agency reduction and ensuring that full compliances are met. You will need to demonstrate good negotiation skillsto ensure effective relationships with agencies.

Successful candidates must have excellent organisational skills with the capability to prioritise workloads and the ability to work to tight deadlines. You will need sound computer knowledge and NVQ III or equivalent experience with accuracy and attention to detail.

Job description

Job responsibilities

1.Work closely with Consultants, Clinical/Divisional Directors and Directorate Managers to support the Locum Co-Ordinator with the sourcing and co-ordination of temporary staffing through the Trusts internal Staff Bank and where this is not possible, through external agencies.

2.Act as a point of contact for matters relating to temporary staffing cover, providing advice and guidance, and where necessary agree a course of action to address issues, when appropriate.

3. Communicate and build a working relationship with staff at all levels as well as external framework agencies, providing administrative support and to get the best value for money, in-line with NHSi guidelines.

4. Respond to and take action to resolve all queries and issues that arise, in a prompt manner, some of which may require the undertaking of difficult conversations requiring skill to bring about the most positive outcome, referring any complex or difficult issues to the Locum Co-Ordinator.5. To receive and process availability notifications and booking requests using the electronic systems, including Health Roster, to cover with Bank or Framework Agency staff (if applicable).

6. Assist the Locum Co-Ordinator to ensure that on a daily basis the Medical Staff Out of Hours Information shared drive is updated with the out of hours temporary Medical staff cover information and, on a regular basis, review the information in the subfolders to ensure that it is up-to-date and relevant.

7. Carry out all required NHS employment checks to ensure that all temporary staff have the required clearances to undertake temporary work at the Trust.

8. Assist with the processing of pre-signed timesheets on a weekly basis for the payment for external temporary staff on the electronic system.

9. Assist in maintaining the HealthRoster electronic rostering system for corporate staff.

10. Input data into the Electronic Staff Record (ESR) accurately and promptly for PAYE temporary staff to enable the payroll team to make payment.

11. Maintain and accurately update the Trust temporary staff finance spreadsheet to enable Finance to accrue appropriate costs for temporary staff.

12. Maintain accurate systems/databases and processes for temporary staff files and records for audit purposes.

13. Assist with the production of reports as required on temporary staff usage and costs.

14. Assist with the planning and organisation of tender exercises as and when required.

15. Assist with the temporary staffing inductions paperwork, including access to hospital systems and ensure all local inductions and any relevant training for Bank staffs are completed.

16. Support and work with other colleagues in the HR Locum Centre team to ensure that cover is provided at all times to maintain this essential service.

17. Cover for the Locum Co-Ordinator during periods of annual leave.

18. Share skills and experience to spread good practice throughout the team.

19. Attend meetings and undertake training, including mandatory and role specific training, to ensure that skills and knowledge are kept up-to-date and appropriate to the post.
