The opportunity has arisen for a Band 3 Support Secretary/Audio Typist within the Planned Medicine within a very dynamic team.
This Role will require excellent organisational, communication and interpersonal skills.
Audio typing skills and a working knowledge of Microsoft Word and Excel are essential.
An understanding of medical terminology is desirable and previous experience of Medway is advantageous although not essential as training will be provided together with training on the Digital Dictation system.
Main duties of the job
- Undertake clinic typing as and when instructed by the team co-ordinator or relevant Medical Secretary.
- Ensure all typing is completed in line with the Medical Secretariat benchmarks and in the interests of patient care.
- Undertake other clerical duties as delegated by the team co-ordinator/Medical Secretary as and when required.
- Support the Medical Secretary in handling patient, GP and other general enquiries as instructed.
- Ensure all patient notes and reports are organised to enable prompt return to the filing section.
- Assist in meeting administrative targets for the Clinical Administrative Team and the Trust as a whole.

Job responsibilities
- Undertake clinic typing as and when instructed by the team co-ordinator or relevant Medical Secretary.
- Ensure all typing is completed in line with the Medical Secretariat benchmarks and in the interests of patient care.
- Undertake other clerical duties as delegated by the team co-ordinator/Medical Secretary as and when required.
- Support the Medical Secretary in handling patient, GP and other general enquiries as instructed.
- Ensure all patient notes and reports are organised to enable prompt return to the filing section.
- Assist in meeting administrative targets for the Clinical Administrative Team and the Trust as a whole.
- Ensure maximum data accuracy of patient data at all times.
- Adhere to security and data protection policies of the Trust in respect of access and use of patient data, equipment security etc.
- Maintain confidentiality at all times.
- Use computer, office equipment and telephones to undertake the duties of the post, including the use of Medway for identification of patients, in-patients, out-patients and waiting list data and tracking in and out of letters and hospital case notes.
- Support patients, GPs and consultants departments etc., by handling clerical duties as allocated by the Medical Secretary/Service Manager by providing effective and efficient service in a polite, positive and courteous manner (and in the absence of the Medical Secretary).
- Assist or participate in the training of staff, including temporary staff.
- Deputise/cover for the Medical Secretary during periods of sickness and annual leave subject to service requirements.
- Undergo an appraisal with your line manager annually which will enable you to develop an appropriate training and development plan to suit both your personal and professional needs
- Ensure that all mandatory training, i.e. Fire lectures and refresher days are updated as required and in line with Health and Safety policies
- Participate in relevant events as required.
