Job summary

An exciting opportunity has arisen to join the General Surgery Team. This role will provide a comprehensive secretarial service to the General Surgery consultants and team.

This will role will assist in the organisation of the Consultants workload and ensure that all duties are carried out to the highest possible standard. You will be required toliaise with other departments and external sources as required.

Main duties of the job

  • Booking of follow up outpatient appointments, including cancellations and reschedules.
  • To assist in the compilation of any patient, clinic or admission lists, liaising with waiting list /appointment staff where necessary, giving concise instructions regarding preparation and administration of waiting list issues and procedures and appointment requests, cancellations and rescheduling.
  • Deal with patients, relatives, medical representatives and other professionals that attend the office to resolve any problems, queries, complaints or requests for appointments.
  • Ensure confidentiality at all times.
  • Maintain diaries, assist in scheduling the consultant's workload, and liaise with other relevant parties concerning the planning and re-scheduling of work as necessary.
  • Ensure all known abnormal or urgent results are brought to the attention of the consultant, or an appropriate member of the team; ensuring urgent action is taken as appropriate.
  • Ensure systems are in place to ensure that accurate copies of correspondence, pathology and other investigative reports are accurately filed in medical records case notes, following laid down guidelines.
  • Ensure word processing of all documents relevant to consultant's work, clinical and non-clinical, including the transcription on Bighand, prioritising workload effectively.

Job responsibilities

  • Take responsibility to ensure that Professional Registration is up to date at all times and does not lapse or expire and to inform line management immediately with any concerns or if registration lapses or expires. (all registered staff)
  • This post involves access to patients and their data including children and/or vulnerable adults as defined by the Disclosure and Barring Service (DBS). It will therefore be necessary to apply for and be in receipt of a satisfactory standard DBS check of the post holder.
  • The Trust requires all roles requiring DBS check, to have a satisfactory DBS recheck every three years
  • The Trust requires require all new starters to subscribe to the DBS update service where it is a requirement of the role.
  • Be responsible for maintaining own vaccinations/Hepatitis B immunity.
  • Safeguard patient confidentiality at all times including adherence to the Data Protection Act.
  • Attend the Trust statutory refresher courses as necessary
